Summary:

The Warehouse Coordinator is responsible for coordinating and documenting material loads, storage, and inventory activities in support of project operations. This role blends strong administrative and documentation skills similar to a Project Manager Assistant, with select coordination and task-assignment functions found in a Production Coordinator role. The position serves as a key point of contact between customers, logistics brokers, Nabholz field crews, and internal project teams to ensure materials are received, tracked, stored, and distributed accurately and efficiently.

Essential Duties and Responsibilities:

Warehouse, Inventory & Load Documentation

Document all inbound and outbound loads including bills of lading, delivery tickets, packing slips, and load schedules.
Track material storage locations, quantities, and condition within warehouse and yard areas.
Maintain accurate inventory records and reconcile discrepancies.
Coordinate material staging and readiness for project or crew pickup.

Coordination & Task Assignment

Coordinate daily warehouse-related tasks and priorities for crews and drivers as directed by management.
Assist with assigning and communicating tasks related to material movement, storage, and delivery.
Support project teams with material availability, documentation, and logistics planning.

Communication & Customer Interaction

Serve as a primary point of contact for customers regarding material deliveries, storage status, and documentation.
Communicate with logistics brokers and carriers to schedule, receive, and resolve delivery issues.
Coordinate closely with Nabholz crews to support field needs and timelines.

Administrative & Systems Support

Maintain organized electronic and physical files related to loads, inventory, and warehouse activities.
Prepare reports related to inventory levels, deliveries, and warehouse activity as requested.
Utilize Microsoft Office and project or inventory tracking systems to support documentation and reporting.
Perform general administrative support duties related to warehouse and logistics operations.
This job is safety sensitive for medical marijuana purposes.
All other tasks as assigned.

Education/Skill Requirements:

Strong organizational and documentation skills with high attention to detail.
Experience in administrative, project support, warehouse, or logistics coordination preferred.
Working knowledge of Microsoft Office (Word, Excel, Outlook).
Ability to communicate effectively with customers, vendors, and field personnel.
Strong customer service, problem-solving, and time management skills.

Physical Demands:

Ability to continuously sit, stand, or walk.
Ability to bend, squat, climb stairs, and lift frequently.
Ability to lift up to 25 pounds occasionally.

Work environment:

Office, warehouse, yard, job site, or job trailer environment.
