Position: Education Abroad Coordinator

Job Description

Tu seeks an Education Abroad Coordinator to assist students throughout the study abroad process, including advising sessions, assistance with securing travel visas, and pre‑departure orientations. The Coordinator will manage the Terra Dotta application database and the database of approved courses, make regular updates to Terra Dotta to reflect changes to programs, terms, or application elements, and research and identify curricular matches between TU and current and potential partner programs and institutions.

Responsibilities also include assisting students in complying with registration and academic credit transfer requirements; managing CGE Education Abroad outreach events and the designated budgets for all special events; managing the CGE website and serving as liaison with TU web designers; conducting an annual review of study abroad processes; liaising with partner universities to promote TU and recruit exchange students; managing exchange students’ nomination and application process;

maintaining data on the exchange student program and balancing numbers; representing the CGE at campus, community, and national meetings; and providing accurate reporting regarding programs, activities, and student advising.

This position reports to the Director of the CGE and will also oversee the CGE Study Abroad databases such as TDS and the course approval database, as well as the CGE events, marketing, outreach, and website.

Responsibilities
  • Conduct individual advising sessions for students planning to study abroad.
  • Articulate and maintain policies to assure academic quality, safety, financial control, and efficient administration.
  • Respond appropriately to the needs of students, parents, staff, and faculty regarding study abroad issues.
  • Provide documentation required for assigned advisees to obtain necessary visas for study abroad.
  • Manage the design and delivery of study abroad information sessions.
  • Advertise and advise for CGE’s and other Study Abroad scholarships.
  • Deliver pre‑departure orientations.
  • Assist students in complying with registration and academic credit transfer requirements.
  • Communicate with partners and providers to resolve student issues pre‑departure, during the program abroad, or upon return.
  • Manage the database of approved courses.
  • Research and identify curricular matches between TU and current and potential partner programs and institutions.
  • Prepare data and support documentation for matching TU and partner program courses.
  • Work with college/departments to get courses approved and transferred for specific students.
  • Manage the CGE website, including design and regular updates, and serve as liaison with TU web designer.
  • Ensure coordination of advising processes with databases and the website.
  • Conduct an annual review of study abroad processes.
  • Make regular updates to Terra Dotta to reflect changes to programs, terms, and application elements.
  • Coordinate all aspects of the annual study abroad fairs and photo contests.
  • Design and coordinate pre‑departure orientation sessions.
  • Develop and manage re‑entry programs for students returning from studying abroad.
  • Coordinate bi‑annual Graduation Sash Ceremony.
  • Manage designated budget for all special events.
  • Produce Education Abroad publications, including study abroad handbook, advising guides, and CGE brochures.
  • Develop promotional materials for in‑class visits and other TU campus events, such as Tulsa Time, Preview TU, and Freshmen Orientation.
  • Track participation of TU students in CGE activities and events.
  • Manage the peer advising program involving returning students from study abroad.
  • Recruit participants from returning study abroad participants.
  • Develop training programs for peer advisors to familiarize students with CGE activities and promote their intercultural development.
  • Supervise peer advisors.
  • Assist with responding to emergencies involving students abroad.
  • Represent the CGE at campus, community, and national meetings as requested.
  • Provide accurate reporting regarding programs, activities, and student advising.
  • Maintain data on student participation throughout the study abroad process.
  • Answer national surveys on education abroad participation.
  • Coordinate the logistics of campus visits from program providers and partner institutions.
  • Perform other duties as needed or assigned.
  • Assist with occasional special projects, which may include short‑term programs, JumpStart

    TU, ISSS orientations, etc.
Required Qualifications
  • Master’s degree in Education or Business Administration.
  • At least 18 months of experience at the college or university level assisting with international education and/or study abroad programs.
  • Experience with Terra Dotta database management.
  • Experience processing credit or credit transfers (domestic or international) at the college level.
Preferred Qualifications
  • Second language ability preferred.
