SummaryOur client is seeking an experienced Individual to support project managers, construction coordinators, and leadership in a fast‑paced, cross‑functional environment. This role combines project coordination / project controls with senior‑level administrative support and requires a highly professional, detail‑oriented individual who can manage competing priorities with minimal oversight.
The ideal candidate is proactive, organized, and confident working across technical teams, leadership, and external stakeholders.
Key Responsibilities- Project Coordination & Controls Support internal and external stakeholders with clear communication throughout the project lifecycle
- Provide administrative and coordination support to ensure projects meet quality, schedule, and cost requirements
- Act as liaison on behalf of the project manager to coordinate activities across engineering, procurement, accounting, field operations, IT, and other groups
- Support project execution activities including scoping, estimating, scheduling, design coordination, bidding, procurement, construction support, and record keeping
- Track project costs, including booked and committed costs, and support timely invoice processing
- Assist with project planning, forecasting, contract monitoring, construction reporting, quality documentation, and project closeout
- Coordinate and manage key project documentation such as change orders, drawings, MOCs, and work orders
- Support project closeout and audits, including preparation of closing packets for property accounting and asset records
- Senior Administrative Support:
Provide high‑level administrative support to leadership and cross‑functional teams - Prepare polished, professional deliverables including communications, presentations, trackers, and reports
- Coordinate internal and external communications with professionalism and discretion
- Manage end‑to‑end meeting support: preparation, action tracking, follow‑ups, and deadline management
- Serve as a central point of coordination for team workflows and priorities
- Handle confidential and sensitive information with sound judgment
- Identify process improvement opportunities and develop templates, trackers, and standard work
- Support event coordination as needed (onsite or virtual meetings, trainings, offsites)
- Strong coordination experience across multiple teams and stakeholders
- Proven ability to manage multiple priorities in high‑pressure environments
- Excellent written and verbal communication skills
- Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)
- Strong organization, attention to detail, and follow‑through
- High level of discretion and professionalism
- Experience supporting leadership or executive‑level stakeholders
- Strong PowerPoint skills; experience creating executive‑ready presentations
- Background in project coordination, operations, or process improvement
- Familiarity with SharePoint, Planner, Power Automate, One Note, or similar workflow tools
- Experience in engineering, construction, utilities, energy, or capital project environments
