In construction materials testing and engineering, the industry norm is voicemail, phone trees, and unreturned calls. Project managers on active job sites need answers now — a test result, a driller schedule, a quick answer that keeps their project moving. When they call most firms, they get a recording. When they call AIMRIGHT, they get a person. That’s not a soft benefit — that’s why they call us instead of the other firm.

You’ll play a critical AIMRIGHT’s C.A.R.E. initiative — Conscientiousness, Accuracy, Responsiveness, Engagement — is our operating philosophy, and Responsiveness is the value clients experience first. The phone is AIMRIGHT’s front door, and this role is the person who opens it.

At 55+ employees and growing, our current “all phones ring” model creates the bystander effect; everyone assumes someone else will answer, so nobody does. An auto-attendant would solve the routing problem but kill the differentiator. A trained, professional receptionist is the only solution that scales our responsiveness without sacrificing the human experience that sets us apart.

This isn’t an overhead position. This is client retention infrastructure.

Job Summary

AIMRIGHT Testing and Engineering is seeking a Professional Receptionist to join our Tulsa team. This is a full-time, on-site role responsible for managing all inbound communications, ensuring every client interaction begins with CARE, and providing executive-level administrative support to AIMRIGHT’s leadership team.

The right candidate understands that answering a phone isn’t a task — it’s a brand promise. You will be the first voice clients hear and the reason they remember that AIMRIGHT is different. We’re looking for someone with a naturally warm and energetic presence, professional communication skills, and the ability to triage and route calls efficiently across a growing organization.

What You’ll Do

Client Communication & First Impressions - Primary Responsibilities

  • Own the phone. Answer every inbound call by the third ring with a warm, professional, and energetic presence. You are the voice of AIMRIGHT.
  • Triage and route calls efficiently to the right engineer, project manager, or team member — minimizing transfers and ensuring callers feel helped, not bounced.
  • Take accurate, detailed messages when team members are unavailable, and follow up to ensure callbacks happen.
  • Greet and direct all visitors, clients, and vendors arriving at the Tulsa office.
  • Monitor and respond to general company email and inquiries as the first point of contact.

Executive & Administrative Support

  • Support the CEO on the safety program, including administration of Site Docs, tracking training video completion, managing safety forms, and coordinating monthly safety meetings.
  • Send communications on behalf of the executive team, including monthly/quarterly letters to all employees.
  • Maintain and update the CRM () with current project and client information.
  • Assist with basic accounting functions in Quick Books Online, including GL entries, simple AR functions (collections follow-up), and invoice/payment updates.

Operational Coordination

  • Office Management Duties as Assigned
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Coordinate meeting room scheduling and office supply inventory.
  • Assist with onboarding logistics for new hires as needed.
  • Serve as a bridge between field teams and office staff, ensuring information flows smoothly.
What We’re Looking For
  • 2–4 years of experience in a receptionist, front-desk, or client-facing administrative role.
  • Exceptional phone presence — warm, clear, energetic, and professional. No monotone. Callers should hear someone who is genuinely glad they called.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously without dropping the ball.
