Office Administrator/ Coordinator, Admin Assistant
The Receptionist sets the tone for the community by being an outstanding information source and knows all points of contact for every department within the property to promptly assist visitors. He or she assists with general office support by performing a variety of clerical activities and related tasks, such as answering incoming calls, directing calls to the appropriate personnel, distributing mail, managing the flow of correspondence, requisitioning supplies, and performing additional clerical duties as needed.
Full‑time position. Shift: 3 PM – 11 PM.
PrimaryDuties & Responsibilities
- Adheres to and conveys a philosophy that supports the dignity, privacy, independence, choice, and individuality of residents.
- Answers telephones and directs callers to the appropriate associate, transferring callers to an associate’s voice mailbox when the associate is unavailable.
- Greets visitors in a friendly, interested, and helpful manner.
- Assists in ordering, receiving, stocking and distribution of office supplies.
- Acts as the main point of contact for residents, family members, and guests.
- Helps with related clerical duties such as photocopying, faxing, filing, collating, and any other tasks as requested by the supervisor.
- Performs other duties as assigned.
Physical Requirements
- Helpful attitude and friendly demeanor.
- Excellent organization and multi‑tasking skills.
- Excellent interpersonal and communication skills, both verbal and written.
- Must be able to work independently on assigned tasks as well as to accept direction on given assignments.
- Professional appearance and demeanor.
- Strong computer skills, proficient in MS Word and Excel, with the ability to learn customized programs quickly.
- High school diploma or GED required.
- At least one year of clerical experience preferred.
