Position Overview

Treatment Coordinator. We are seeking an individual with dental experience, particularly in orthodontic procedures, who excels in sales for the Treatment Coordinator position.

The ideal candidate will provide professional service to our patients while following directions and maintaining a friendly, inviting demeanor. We are looking for a sales‑oriented, competitive, adaptable, and resilient professional with a positive attitude, a commitment to customer service, and a focus on growth.

Position Type: Full‑Time

Travel: This is a traveling position across 8 office locations.

Schedule: 5 days per week (Monday through Saturday)

Pay Rate: $21 per hour, plus eligible performance‑based incentives.

Location: Various office locations.

Job Description

The Treatment Coordinator will be responsible for converting examinations into accepted treatment plans, following up with patients, and ensuring the appointment schedule is optimized for maximum conversion. This role involves reaching out to patients, marketing our services, and focusing on achieving strong financial results.

Key Responsibilities
  • Review the schedule in advance to confirm appointments for new patients.
  • Prepare the consultation room for the orthodontist, ensuring it is set up appropriately.
  • Verify that all required documentation, including health history and patient information, is accurately completed and entered.
  • Greet and assist patients and their families in a warm and welcoming manner.
  • Conduct initial consultations to explain treatment options, processes, and patient expectations.
  • Discuss treatment plans with patients and their families, ensuring they understand the associated risks and limitations.
  • Clearly explain treatment costs and financing options to patients.
  • Address patient concerns and inquiries promptly and professionally, demonstrating empathy and compassion.
  • Coordinate treatment plans from initial consultation to completion, confirming appointment statuses and outcomes.
  • Answer phone calls, schedule or confirm appointments, and follow up with converted patients.
  • Maintain detailed notes of examinations and important patient information.
  • Document patient interactions accurately and efficiently.
  • Organize patient paperwork in accordance with administrative protocols, including auditing and scanning.
  • Collaborate with the orthodontic team to ensure seamless patient care and communication.
  • Maintain accurate patient records in compliance with HIPAA regulations.
  • Stay updated on orthodontic procedures, technology, and best practices to provide informed guidance.
  • Achieve a successful patient conversion rate target of 60%.
  • Follow up with patients' postexamination to ensure continuity of care, including calls to those you have converted.
  • Maintain cleanliness and organization in the work area.
  • Build rapport and maintain professional relationships with patients, families, and colleagues.
  • Assist with financial tasks as needed, including managing contracts, payments, and fees.
Qualifications
  • High school diploma or equivalent.
  • Fluent in Spanish.
  • Knowledge of orthodontic field procedures and terminology.
  • Knowledge of HIPAA standards and handling of Protected Health Information (PHI). Proficient in phone communication.

  • Physical Requirements:
  • Ability to sit for long periods in front of a computer.
