Blue Pearl in Tacoma, WA is seeking a Referral Coordinator/Float CSC/PCC to join their talented team!

Referral Coordinator Pay: $24.30 - $32.25 per hour. This pay band is a starting point and is dependent on experience. We also offer competitive shift differential pay for eligible hours worked for nights and weekends.

Shift differentials are based on a 4‑hour minimum.

Shift Differential Examples
  • Mon – Fri: 6 pm to 8 am = $4.50
  • Sat & Sun: 6 pm to 8 am = $8.00
  • Sat & Sun: 8 am to 6 pm = $4.50
Experience Required
  • 5–7 years of veterinary medicine experience
  • Leadership is a plus
Responsibilities
  • Take primary veterinary calls when the doctor is not available for follow‑up questions only.
  • Document conversations with specialists and clients in the medical record.
  • Ensure all medical records are forwarded to the appropriate primary veterinarian.
  • Assist in routing messages to departments with feedback, questions, or concerns.
  • Assist with any scanning of patient documentation (labs, records, insurance claims, etc.) and attach to the record as appropriate.
  • Interact within different services to expedite scheduling of procedures, rechecks, and consults.
  • Maintain patient care database by entering new information as it becomes available; bring pertinent emails and faxes to the doctor with the corresponding file and relay the doctor's interpretations on most blood work and any follow‑up instruction or change of direction from the doctor.
  • Provide overflow support to Client Service Coordinators to answer incoming phone calls, schedule client appointments, and, if needed, help cover the front desk to facilitate lunch breaks or shortages.
  • Submit all appropriate medical documents and invoices for insurance claims.
Client Service Coordinator Responsibilities
  • Greet and make friendly eye contact every time our hospital entry door opens to offer the individual warm and professional acknowledgement.
  • Always offer a friendly smile, strong eye contact, and an approachable demeanor.
  • Be a compassionate listener.
  • Speak clearly, slowly, and calmly in person and on the telephone in a way that clients easily understand.
  • Assess immediately upon arrival each client’s need, as well as the pet’s general condition.
  • Determine whether an emergency arrival is a “stat” versus a “standard” emergency.
  • Respond to non‑patient calls or visitors and connect them to the appropriate team member.
  • Confirm all appointments in advance ensuring clients receive accurate information about preparing their pet for the appointment.
  • Offer emotional support and resource materials to grieving clients in a compassionate and discreet manner.
  • Serve as a liaison between clients and service agencies during handling of pet remains by ensuring a complete, accurate, and compassionate process.
Qualifications
  • Strong customer service background.
  • Understanding of how the hospital as a whole operates.
  • The ability to accept criticism and deal calmly and effectively with high‑stress situations.
  • Detail‑oriented, thorough, and possessing excellent follow‑through skills.
  • Clear and professional communication abilities.
  • Prior reception or phone experience required; prior veterinary reception experience is a plus.
