About

This Role

The Clinical Assistant plays a critical role in supporting Optispan’s clinical operations and client experience. This position bridges hands‑on clinical work with operational precision—ensuring clients receive seamless, high‑quality care from check‑in to results delivery. The ideal candidate is detail‑oriented, organized, and comfortable in a fast‑paced, client‑centered environment. You will collaborate closely with providers and care coordinators to manage clinical workflows, maintain readiness of all medical equipment and spaces, and uphold Optispan’s standard of excellence in health optimization.

Key Responsibilities Phlebotomy and Laboratory
  • Perform venipuncture (preferred but not required).
  • Process specimens: spin, label, package for pickup or shipping.
  • Complete, organize, and manage lab requisitions.
  • Arrange courier pickups and shipments for lab kits.
  • Coordinate mobile phlebotomy with approved vendors when needed.
  • Order, receive, ship third‑party lab kits; track and assign kit numbers.
  • Review laboratory and specialty test results; upload to the EMR.
Clinical Support and Diagnostics
  • Conduct intraoral digital scans and maintain scanner readiness.
  • Assist during point‑of‑care ultrasound; ensure probe readiness and upload images to the EMR or imaging system.
  • Support prescription fulfillment as a provider delegate and assist with prior authorizations.
  • Set up and stage continuous glucose monitoring, including app setup, alcohol swabs, and wearable sizing kits.
  • Coordinate external referrals. Initiate, track, and confirm completion of labs, imaging, and specialty consultations; ensure all referral results are uploaded in the EMR.
Infection Control
  • Prepare and reset clinical spaces; maintain cleanliness and sanitation between appointments.
  • Stage materials for on‑site procedures, including blood draws and ultrasound exams.
  • Night‑before preparation: client kits, swag bags, menu review, and overall session readiness.
  • Stage phlebotomy supplies and disposables as a complete set.
  • Verify all devices are powered, connected, and updated in advance.
  • Stage hygiene and comfort items: scanner sleeves, toothbrush, towels, robe, bathroom kit.
  • Place required clinical items: urine cup, BP cuff, pulse oximeter; turn on gel warmer.
Client Experience And Hospitality
  • Greet clients; explain procedures and after‑visit instructions.
  • Manage hospitality end‑to‑end: meal ordering, preparation, cleanup.
  • Ensure appointments account for client preferences and needs, including dietary restrictions.
Operations, Inventory, and Facilities
  • Monitor and track clinical and phlebotomy inventory, including items with PII controls.
  • Confirm courier pickups daily.
  • Check expiration dates on all food items weekly.
  • Transport laundry when full or coordinate pickup with the office manager.
Care Coordination and Admin
  • Support scheduling, documentation, and follow‑ups as part of coordinated care.
  • Maintain organized records and timely uploads in the EMR across all workflows.
Qualifications
  • Certified Phlebotomy Technician (CPT) or equivalent (preferred).
  • 1+ years of experience in a clinical or wellness setting preferred.
  • Proficiency with EMR systems.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Commitment to precision, discretion, and client care excellence.
