Overview

The University Libraries Business Center seeks a Senior Coordinator, Finance and Operations who thrives in a collaborative work environment, has a strong work ethic, and exercises creativity in fulfilling assigned duties. The Senior Finance and Operations Coordinator provides financial management support for a $15,000,000 Library Information Access budget, carrying out duties in accordance with established accounting principles, procedures, and objectives. The incumbent reconciles, analyzes, and prepares various financial reports and assists in managing and reconciling a variety of university funds (state, grant, gift, and auxiliary) with an emphasis on purchasing and budgeting.

This position requires sensitivity in handling confidential information, the ability to assess and respond to customer needs effectively, and a collaborative work style to complete assignments of varied and diverse nature. The position reports to the Associate Director, Finance and Operations, and works closely with the Director, Finance and Administration, to manage the libraries’ accounts.

Duties & Responsibilities
  • Financial: Assist the Associate Director in account management, budgeting, and expenditures; authorise and approve financial documents; reconcile transactions monthly; prepare and submit financial reports; provide budgeting and forecasting tools.
  • Monitor, reconcile, and allocate the Information Access (IA) budget; oversee IA support staff; submit file feeds to UA Financial Systems; liaise with UA Accounts Payable; collaborate with Collection Services Department; prepare monthly budget reports.
  • Create monthly, quarterly, and annual reports to present the libraries’ financial position; develop analytic tools for budget forecasting.
  • Prepare budget recommendations; monitor application of the budget throughout the year.
  • Review accounting and reporting systems and ensure compliance with university regulations.
  • Sponsored Projects: Work with PI and Associate Director to review project budgets, initiate and track proposals; assist with grant reporting and activity reviews; monitor position funding updates.
  • Operations: Adapt to changing university and library needs, provide specialized reports, train staff, develop relationships across departments, update policies and manuals, support departmental initiatives, streamline processes, provide backup support, and support strategic initiatives.
  • Other duties as assigned.
Knowledge, Skills, and Abilities

Minimum Qualifications
  • Bachelor’s degree or equivalent advanced learning attained through professional level experience.
  • 3 years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Experience with a library services platform or other library resource management system.
  • Experience providing training and performance management.
  • Experience with UAccess Systems (Financials, Analytics, Employee).
