Financial Aid Coordinator - Student Affairs (COM-T)
We are looking for a Financial Aid Coordinator within the College of Medicine – Tucson’s Office of Student Affairs. The role focuses on specialized financial aid counseling, document processing, scholarship and grant program oversight, and compliance with federal and institutional policies. The Coordinator will administer the financial aid programs available to College of Medicine‑Tucson, joint MD, and pathway program students while reporting to the Director of Financial Aid.
Duties & Responsibilities- Assist students with the financial aid application process, including completion of the FAFSA and other required forms for Title IV, Title VII, and institutional aid.
- Verify and review submitted financial aid documents and resolve discrepancies by using Professional Judgment (PJ).
- Create financial aid award packages based on students’ eligibility, ensuring they understand the details and terms of their aid offers.
- Ensure the timely and accurate processing of financial aid awards.
- Manage daily and weekly counselor assignments to clear over awards, lifetime loan max reviews, verifications, pr orations, disbursement holds and other required actions.
- Stay up‑to‑date with federal, state, and institutional financial aid regulations and policies.
- Maintain compliance with relevant laws, such as the Higher Education Act, and ensure proper documentation and reporting.
- Assist the Director of Financial Aid with audits and reviews related to financial aid programs.
- Serve as the primary point of contact and provide excellent customer service to students and families, addressing inquiries and concerns in a timely manner.
- Provide personalized debt management financial counseling to medical students, addressing questions related to loans, scholarships, grants, and other sources of aid.
- Assist students in creating budgets and financial plans to manage educational expenses and offer guidance on loan repayment options and financial literacy.
- Provide ongoing support throughout a student’s academic journey by helping them navigate financial aid renewal and ensuring they remain in compliance with eligibility requirements.
- Oversee workshops and seminars to educate medical students on financial aid options and responsibilities.
- Collect data on financial wellness needs and challenges of students and compile reports to evaluate program effectiveness.
- Collaborate with other campus departments such as Student Affairs or ODEI to provide comprehensive support and resources.
- Collaborate and/or refer students to external financial professionals when needed.
- Manage all institutional and external scholarship opportunities, focusing on recruitment and specialty scholarship application cycles.
- Manage the scholarship application process, including promotion, application collection, and review.
- Collaborate with scholarship committees, donors, and the Development Office to ensure an accurate and efficient scholarship award process.
- Maintain records of scholarship recipients, match donor funds to student interests, enter awards and track disbursement.
- Submit bi‑annual fund transfers and monitor account balances to re‑offer funds during the award year.
- Send scholarship award letters and contact students regarding donor stewardship opportunities.
- Identify external scholarship opportunities and counsel students about the application process.
- Ensure the funding of HRSA programs along with other military Health Professions Programs through applicable invoicing and payment requests.
- Develop project plans and timelines for specific Pathway & Dual‑Degrees programs.
- Collaborate with the Director on strategic planning and policy development.
- Analyze student financial data to identify trends and improvement areas in the financial aid process.
- Generate reports and analyze data to evaluate the effectiveness of financial aid programs.
- Schedule appointments for the Director of Financial Aid to ensure timely fulfillment of needs.
