Job DescriptionWe are currently seeking a Client Services Associate to join our team. In this role, you will be responsible for enhancing new and existing client relationships with friendly, responsive communication and attentive service. You will process client requests, resolve inquiries, maintain accurate documentation, and help ensure smooth and positive client experiences.
You will play a key role in supporting client service processes, transactions, and follow‑ups while maintaining a strong understanding of firm policies, procedures, and industry compliance requirements.

The ideal candidate will have excellent communication skills across multiple platforms (phone, email, in‑person, and virtual), strong computer literacy, and the ability to quickly learn new technologies. This role requires someone who is proactive, highly organized, comfortable managing multiple tasks in a fast‑paced environment, and enjoys building trust with clients.

Duties and Responsibilities (including but not limited to)- Greet visitors, clients, vendors, and others that arrive at the office.
- Build rapport and maintain relationships with clients through professional, friendly, and responsive communication.
- Process client requests and paperwork accurately and efficiently, ensuring all documentation is complete and compliant.
- Maintain accurate client records in the firm’s databases, including updates to client information, account details, and interaction notes.
- Work closely with the Operations Manager to support client service processes, transactions, and follow‑ups.
- Prepare requested reports and materials to prepare for client meetings.
- Maintain strict confidentiality regarding client information and adhere to all compliance guidelines.
- Assist with planning and setup for client and firm events.
- Participate in required and optional training and professional development to stay current on firm policies, procedures, compliance requirements, and new platforms.
- Duties and responsibilities will expand as knowledge and experience increase.
- Strong computer literacy and an aptitude for learning new technologies, including experience navigating CRMs, computer system applications, and other software.
- Proficiency in Microsoft Office 365, including Word, Excel, Outlook, and PowerPoint.
- Assist clients with online account access and technology questions.
- Troubleshoot basic technology issues and provide basic technical support to clients.
- Address general client inquiries related to account maintenance, statements, and online access.
- Strong analytical skills, problem‑solving ability, and attention to detail.
- Adaptable, organized, and able to manage multiple tasks in a fast‑paced, task‑oriented work environment with changing priorities and deadlines.
- High School Diploma/Equivalency.
- Industry experience is a plus.
- Work hours are typically between 8:00 AM and 5:00 PM.
- If there is a client event that is held outside typical business hours, you are expected to attend and participate.
- Competitive Salary Range of $40,000 - $50,000.
