Are you organized, professional, and passionate about creating a welcoming environment? We are seeking a dedicated Administrative Specialist (Concierge) to serve as the heart of our community's front office. This role is ideal for someone who thrives in a fast-paced environment, enjoys supporting leadership, and takes pride in delivering exceptional service to residents, families, and visitors.
What You'll DoAs the first point of contact for our community, you will:
- Manage front desk operations and greet visitors warmly and professionally
- Support the Community Leadership Team with administrative tasks, documentation, and reporting
- Coordinate resident transportation and appointments
- Maintain resident records, billing submissions, and insurance claims
- Process ALTCS authorizations and monthly claims
- Manage mail, packages, scanning, filing, and electronic documentation
- Deposit payments and update accounting records (Quick Books experience helpful)
- Ensure lobby and administrative areas remain organized and welcoming
- Assist families during resident admissions and move-outs
- Maintain confidentiality and regulatory compliance
- Provide weekend and holiday coverage as scheduled
- High school diploma or GED
- Proficiency in Microsoft Office (Word, Excel, Teams) and internet applications
- Strong organizational skills and attention to detail
- Professional demeanor and excellent communication skills
- Ability to multitask, meet deadlines, and stay positive under pressure
- Valid Arizona Driver's License or
- Must be at least 21
- Arizona Fingerprint Clearance Card (upon hire)
- Negative TB test within 12 months of hire
- Background check and drug screening required
- Caregiver Certification within 9 months of employment
- Arizona Memory Care Certificate (within 30 days of hire)
- Frequent standing, bending, reaching, and lifting (up to 35 lbs. frequently)
- Exposure to healthcare environments, including infectious diseases
- Ability to work varied hours including weekends and holidays
- Must be able to work during emergency conditions if needed
