Executive Associate to the Chief Government Relations Officer

The Administrative Support Professional III serves as a senior administrative partner providing high level, strategic support to the Chief Government Relations Officer. A successful candidate will manage complex administrative operations, coordinate executive priorities, and serve as a trusted liaison between leadership and staff as well as external community members. The position exercises independent judgment, handles sensitive and confidential matters, and contributes to operational efficiency and institutional objectives.
Occasional driving of university golf carts and vehicles may be required.

Executive and Strategic Administrative Support- Provide comprehensive administrative support to SVPs or equivalent leadership, including complex calendar management, coordination of executive priorities, preparation of briefing materials, and proactive management of deadlines.
- Anticipate leadership needs, resolve scheduling conflicts, and ensure efficient daily operations within the unit.
- Additional duties as assigned.
- Serve as a primary point of contact between executive leadership and internal and external stakeholders.
- Draft, edit, and coordinate executive correspondence, reports, presentations, and other communications.
- Exercise discretion and professionalism in handling confidential and sensitive information, representing the unit with sound judgment.
- Oversee and coordinate administrative processes that support the unit's operations.
- Interpret and apply university policies and procedures, recommending and implementing process improvements to enhance efficiency, service quality, and compliance.
- Coordinate special projects and strategic initiatives with cross-functional partners.
- Gather, analyze, and maintain operational, project, or budgetary data in support of executive decision-making.
- Prepare summaries, reports, and recommendations for leadership review.
- Monitor expenditures, reconcile accounts as needed, and flag issues or irregularities in accordance with university policy.
- Provide functional guidance and oversight to administrative staff or student employees as applicable.
- Assign work, monitor progress, support onboarding and training, and contribute to a collaborative administrative environment within the unit.
- Extensive knowledge of administrative principles, practices, and procedures within a complex organization.
- Ability to manage multiple competing priorities, anticipate needs, and exercise sound independent judgment.
- Strong written and verbal communication skills, including experience drafting and editing executive-level correspondence, reports, and presentations.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Proficiency in analyzing data, preparing summaries, and supporting executive decision-making.
- Ability to work independently while effectively collaborating with executive leadership, colleagues, and stakeholders across the institution.
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- 5 years of relevant work experience, or equivalent combination of education and work experience.
- Experience with Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook), scheduling systems, and web-based research.
- Experience with both Windows and Mac operating systems.
- Experience with UA systems and policies and procedures.
- Experience with and knowledge of UAccess Systems.
- Experience in planning and coordinating activities and programs.
