Responsibilities- Provide administrative assistance to the sales team.
- Perform data entry and ensure accuracy in all sales‑related software.
- Ensure that all sales correspondence is completed in a timely and accurate fashion, including group guest reservations and confirmation information.
- Support operations by prioritizing customer/revenue generating activities, running reports ochtend from Delphi/Salesforce and Opera, and assisting with data collection, analysis, and report preparation.
- Assist with important proposals, contracts, and other documents.
- Maintain inventory and order supplies through the Net Suite system (20%).
- Interact with internal and external customers on a regular basis, providing outstanding guest service.
- Screen and direct calls to appropriate sales staff and other departments.
- Answer questions, address concerns, and service issues as a knowledgeable representative of the Sales Team, ensuring a timely response within 24 hours (30%).
- Oversee group rooming lists, entering reservations, sending confirmations, and handling late‑night arrivals and reservation changes.
- Liaise with group leaders, addressing questions and concerns.
- Coordinate group dining and activities, prepare social group resumes, BEOs and attend weekly meetings to disseminate information.
- One to two years of administrative support or customer service experience in a similar or related field.
- High school diploma or equivalent work experience.
- Warm and friendly personality.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Strong attention to detail, follow‑up skills, and the ability to effectively multi‑task.
- Valid driver’s license with an acceptable driving record.
