Primary Function: Under the direction of the Chancellor, this role provides independent administrative support to the Chancellor of the Diocese. The employee is expected to act in accordance with the teachings of the Roman Catholic Church. “Live in a manner worthy of the call you have received.” (Eph. 4:1)
- Recognize and support the unique Catholic Mission of the Diocese by speaking, acting, and instructing consistently with the teachings of the Roman Catholic Church.
- Live Gospel values by being an active member of a faith community and model the teachings of Jesus in attitude and example.
- Receive and handle all incoming calls, screen requests, and communicate with clergy, community leaders, department heads, employees, and laity.
- Accurately and timely manage all correspondence and documentation; prepare, maintain, and organize files for the Chancellor’s Office.
- Prioritize, coordinate, and schedule independent administrative tasks; assist in preparing meetings and functions.
- Provide secretarial support as necessary, including composing written correspondence, responding to external routing, preparing memos, payment requests, and other department forms.
- Maintain electronic records by compiling, classifying, and inputting data into the proper database, forms, or files.
- Demonstrate initiative in coordinating, organizing, and facilitating administrative support functions.
- Maintain confidentiality and respect privacy of the Chancellor’s Office and the Office of the Bishop of Tucson.
- Work collaboratively in a professional manner with all diocesan staff and provide support to others as requested.
- Perform other duties as assigned.
Requires normal visual ability, coordination, and manual dexterity; ability to lift as required in a normal office environment.

Basic Qualifications- Working knowledge and strong commitment to the mission of the Diocese and Catholic Church; in full communion with the Church.
- Excellent verbal and written communication skills and interpersonal skills.
- Courtesy to fellow employees, parishioners, and the public.
- Self-starter, organized, able to handle multiple tasks.
- Ability to maintain confidentiality.
- Ability to work collaboratively in a team; punctuality is mandatory; local travel required; weekend and overtime work may be required.
- Proficiency in computer technology including word processing, spreadsheets, presentations, databases, and reporting with a minimum typing speed of 40 WPM.
- Professional bearing; clean and neat personal appearance.
- Successful completion of a criminal background check.
- Minimum associate degree in business, public administration, or equivalent experience.
- Two to five years of experience as an administrative assistant or secretary in a high-activity environment, or equivalent.
Skills and Abilities
- Bi-lingual (Spanish/English).
