COMIT Administrative Assistant (Part-time up to 25 hours)

Disability Rights Arizona (DRAZ) is the State of Arizona’s Protection and Advocacy (P&A) System and is part of a national network of public interest firms dedicated to advancing the civil and human rights of all people with disabilities in the community and in institutional settings.
DRAZ is seeking a detail-oriented and dedicated part-time Administrative Assistant to join its Compliance, Oversight, Monitoring, and Investigations Team (COMIT). This role supports the objectives of the Developmental Disabilities Group Home Monitoring Program.
Under Arizona Statute and DRAZ’s contract with the Arizona Department of Economic Security (DES), COMIT Investigators are responsible for conducting Quality of Care Investigations for individuals with complex needs residing in state-funded group homes operated by the Division of Developmental Disabilities (DDD). DRAZ’s COMIT initiative commenced on January 1, 2023, and have since been extended into a fourth-year. For additional details, please refer to ARS § 36-595.03.
Position Overview and Responsibilities:
The purpose of the Administrative Assistant job is to provide administrative support for COMIT Managers and team members and their work. DRAZ expects the work of the Administrative Assistant to be accomplished in a timely and accurate manner and according to the instructions of the Managers, Monitors, and Investigators.
Essential Functions:
- Provide administrative and secretarial support to staff as
- Assemble and summarize information from files for use by
- Adapt computerized information to meet Program needs.
- Monitor calendars for COMIT staff to ensure no scheduling conflicts and to inform COMIT staff of upcoming deadlines.
- Proficient in Word, Excel, PowerPoint, Outlook, Internet research, SharePoint, Share File, Microsoft Teams, and use of Outlook e-mail. Should have some knowledge of how to troubleshoot computer or technology
- Compose letters utilizing templates, instructions and/or
- Scan, fax, and/or mail all case-related correspondence as needed.
- Coordinate travel arrangements for team members, including transportation, lodging, and itinerary planning
- Proofread and correct prepared material for correct style, format, grammar, spelling, punctuation, and
- Prioritize work and meet assigned deadlines while appropriately resolving those that conflict.
- Follow and implement the organization’s client services policies and
- Assist with organizing and coordinating reports and work products of the team, including summarizing data from multiple persons, locations and
- Handle confidential matters discreetly; be flexible with changing situations; and establish and maintain effective working relationships with employees in various offices, programs, and people outside the
- Produce quality, error-free written materials, both printed and
- Effectively and regularly communicate with employees and the public at the individual, team and organizational
- Maintain thorough and complete records and database entry.

- High School diploma or General Education Diploma (GED), supplemented by specialized secretarial
- Three years of progressively responsible administrative or secretarial experience in a professional office
- Keyboard proficiency: 55 net words per
- Demonstrated experience performing detailed administrative support work, with the ability to understand and carry out oral and written instructions, to work well under pressure, and to effectively reprioritize and handle multiple tasks and fluctuating deadlines, with minimal
- Experience working with persons with disabilities and/or knowledge of group homes or similar living environments for persons with disabilities.
