As a Finance & Admininistration Officer, you support the daily financial and operational activities of the US subsidiary. You serve as the key operational link between the US branch, the external CPA and the HQ in Belgium You also play a central role in maintaining financial data accuracy by processing invoices, sales order and inter-company purchase orders. You report directly to the Group Finance Controller for every aspects linked to finance and procedures and to the Manager of North American Operations for every operational and day to day local aspects.

Responsibilities
  • You coordinate with outsourced bookkeeping and accounting partners to ensure timely month-end, quarterly and year-end closing.
  • You ensure good coordination with local partners (financial and operational teams, local trustees, CPA, Auditors, PEO) and headquarters teams.
  • You process vendor invoices, ensure proper approvals and schedule payments (ACH and wire transfer).
  • You prepare, generate, verify and distribute customer invoices and follow-up payments.
  • You maintain accurate vendor and customer records within the accounting system.
  • You enter and process customer orders accurately in ERP/CRM systems until transition to new ERP system.
  • You ensure consistency between sales orders, deliveries and billing.
  • You coordinate with sales teams on pricing, contracts and order status.
  • You resolve billing discrepancies with customers and internal teams.
  • You maintain accurate vendor and customer records within the accounting system.
  • You monitor inventory movements in ERP and reconcile discrepancies.
  • You support physical inventory count.
  • You collaborate with cross functional teams to drive operational efficiency.
  • You identify inconsistencies and propose process improvements.
  • You actively participate in the implementation of a new ERP (Odoo).
  • You support administrative tasks linked to the function, including documentation management, recordkeeping, and coordination of related operational processes.
  • You provide administrative support to the Branch Manager and cross-functional departments to support overall operations.
  • You apply Quality Management System procedures.
  • You respect health and safety rules and standards.
  • You communicate deviations and malfunctions and propose improvements.
Profile
  • You have an associate degree in Business administration or accounting.
  • You have solid experience in administrative support, with a strong interest in accounting and finance.
  • You possess basic accounting knowledge and are comfortable handling fundamental accounting tasks (invoicing, expense tracking, AP/AR support).
  • Proficiency in Excel.
  • You have excellent analytical and problem-solving skills.
  • You have strong communication and interpersonal skills.
  • You have the ability to work effectively in a fast-paced and dynamic environment.
  • You are proactive and have excellent organizational skills and sense of priorities.
  • You have excellent interpersonal skills in all circumstances.
  • You show discretion and confidentiality in handling and managing information.
  • You have a strong attention to detail and process oriented mindset.
  • You have experience with Sage
    100 or Odoo is a plus.
  • French (oral and written) is considered a strong asset.
