The Events Experience Manager will play a key role in delivering exceptional event experiences to our community by ensuring seamless execution and fostering positive relationships.
Responsibilities span the full event lifecycle - from initial concept, planning and budgeting through logistics coordination and execution, vendor management, speaker and attendee communication, on-site execution and post-event evaluation - all aligned with BioNJ s strategic goals and commitment to excellence.
Position background and responsibilities:
- Produce and manage Annual Events Calendar
- Support Team in the preparation of and oversight of logistics for all in-person and virtual BioNJ events, conferences/conventions and meetings
- Participate in Committee Planning calls and prepare Committee meeting minutes
- Oversee venue selection, work with vendors (such as AV) and manage events finances to deliver events within budget goals
- Coordinate speaker experience including all aspects of their participation such as preparation calls and managing ongoing communication with speakers, including requesting photos and bios, organizing logistical details and sending thank you notes
- Utilize Salesforce to prepare reports, manage lists and test registration
- Manage on-site event setup, staffing and logistics to ensure a positive experience for attendees, speakers and sponsors
- Troubleshoot issues that arise during an event
Minimum Requirements:
- Bachelor s degree required plus 1 - 3 years event planning experience
- Ability to problem solve and propose solutions
- Ability to handle multiple projects and meet deadlines
- Ability to work independently and under pressure
- Exceptional relationship management and strategic planning mindset
- Excellent communication skills, both oral and written, including proofreading skills
- Ability to communicate in a highly professional manner with Members, Colleagues and Vendors
- Computer skills:
Microsoft Word, Excel, Access and Power Point - The Events Experience Manager reports to Executive Director, Programs & People Services.
