Overview
BRMH seeking part time Receptionist/Support Specialist to work in Tremonton, Utah.
Responsibilities- Position
Hours:
20 hrs/week - Position
Schedule:
M/W/TH 2:00–6:00; TUES 8:00–12:00; FRI 12:00–4:00, with expectation to cover co-worker time off - Welcomes clients and processes check-in, including payment collection, client outcome survey processing, receipting, and therapist notification of client arrival
- Complete automated client admit procedures for admit appointments
- Answer, screen, and route incoming calls
- Manage automated client scheduling system (make, cancel, and change appointments)
- Assist in client medication pick-up by maintaining a signature list for pickup
- Coordinate client requests with therapists and the Medication Team
- Maintain an orderly waiting room
- Back-up other receptionist schedules as needed for vacation and sick leave coverage
- Make daily appointment reminder calls
- Score psychological tests as needed
- Assist with administration of annual customer satisfaction surveys
There may be some work assisting clients with their telehealth appointments, including appointment check-in, connecting to the telehealth session, monitoring needs during the appointment, and scheduling follow-up appointments. Act as a contact for the telehealth therapist to coordinate telehealth needs and appointments, and assist in any other way to facilitate the telehealth process.
Secondary Activities- Complete up-to-date quality time sheet records with appropriate and accurate activity codes by 30 minutes past closing of the next business day
- Obtain approval from immediate supervisor for any and all leave taken
- Attend supervision appointments and team/organization meetings as scheduled
- Maintain an automated schedule reflecting the FTE availability within Center hours
- Attend trainings within and outside of the Center for job development
- Knowledge of confidentiality and ability to maintain strict confidentiality of all client and Center information
- Effective oral and written communication skills
- Knowledge of quality customer service principles and practices in a mental health setting
- Teamwork and cooperative interoffice relations
- Experience dealing with difficult customers and providing excellent customer service
- Computer literacy for automated medical records, email, scheduling, etc.
- Timeliness with schedule, attendance, and meeting participation
- Positive attitude aligned with job expectations and Center policies
- Ability to maintain ethical boundaries with clients and staff
- Understanding of workplace safety and adherence to safety policies
- Ability to perform tasks safely and report safety issues
- Flexible hours to meet client and Center needs, including covering other receptionist shifts when necessary
- High School diploma plus one year of related experience preferred
- Excellent office skills and attention to detail; computer skills
- Ability to prioritize, multi-task, work in a fast-paced environment, and maximize efficiency
- Excellent customer service skills and experience
- Must be able to pass a criminal background screening
