POSITION SUMMARY

The Medical Assistant (MA) Front Office works as a part of the Care Team with the licensed clinical staff and others to provide medical care to patients and greet the public, screening and registering patients of all ages at Community Medical Centers (CMC). The MA Front Office is responsible for key processes to provide an excellent patient experience. This position reports to the physician staff and to the Center Manager or Supervisor at the site of assignment for supervision, training, delivery of services and performance evaluations.

The Chief Nursing Officer (CNO) provides oversight of the clinical activities of the MAs.

SPECIFIC DUTIES

Medical Assistant Duties

  • Promotes the mission, vision, and values of the organization.
  • Conducts intake assessments, including reason for visit, pertinent medical histories, medication reconciliation, vital signs, consents for procedures and other testing (e.g., vision and hearing).
  • Sets up Telehealth Appointments and conducts intake assessment over the telephone or video as possible.
  • Performs pre-visit chart scrubbing to identify follow-up issues, screenings or preventive care needed prior to visit.
  • Ensures appropriate screening tools are completed (e.g., PHQ-9, Health Literacy).
  • Adheres to CMC’s Best Practices of “Team Care” and conducts daily and ad hoc huddles with the Care Team.
  • Provides red carpeting services to all patients.
  • Identifies and documents patient self-management goals and follow-up goals during the intake process.
  • Prepares examination areas, immunizations, instruments, and setup for procedures.
  • Maintains efficient patient flow; advises MA/Receptionists Leads and/or Center Manager if wait times exceed 15 minutes.
  • Provides interpretation for non-English-speaking patients as needed, and coordinates telephonic or video interpreter processes as appropriate.
  • Administers immunizations (oral, IM, intradermal, subcutaneous) as ordered and within scope of practice.
  • Performs and records urine dips; prepares urine samples and instructs patients on specimen collection.
  • Shares normal lab results with patients only after provider sign-off; identifies lab results not signed off during chart reviews.
  • Conducts CLIA-waived laboratory testing (e.g., glucose, pregnancy, rapid strep) and capillary specimen collection.
  • Processes and handles blood and specimens; performs quality control on laboratory equipment.
  • Records entries in the Electronic Health Record (EHR) for face-to-face and phone encounters.
  • Facilitates timely and effective communications between provider and patient.
  • Works independently with minimal supervision and can take direction from multiple clinicians.
  • Teaches and supports team in daily activities and strives for an Excellent Patient Experience.
  • Assists in intake assessments for patients and patient telephone calls; helps maintain supplies and checks expiration dates.
  • Prepares and stocks examination rooms; cleans and sterilizes supplies as directed; reorders expendable items and medications.
  • Monitors vaccine refrigerators and expiration dates; performs ECGs and spirometry as ordered.
