Essential Job FunctionsThe Judiciary Clerk performs a range of clerical duties across various case types maintained by the Montgomery County Circuit Court, Family Department. Duties include but are not limited to, entering new cases, updating existing case information, and processing mail. Performing service of court orders and other documents that require service by the Clerk. Performing cashier functions. Providing customer service in person, by phone, and in writing.
Family Department case types include Adoption, Divorce, Change of Name, Change of Gender, Custody, Child Support, Domestic Violence, Emergency Psychological Petition, Guardianship, and Special Immigrant Juvenile Status. Any other duties needed outside of assigned responsibilities to help any office and the court to achieve its goal and aid in the improvement and success of the court.
- Enters new cases and updates existing case information into the court's electronic case management system.
- Screens paper and electronic documents to ensure they are complete and accurate in accordance with established court policies and procedure.
- Generates summons, writs, subpoenas, certified copies, and triple seal copies for mailing or to hand to customers conducting business in person. Prepares service packets for service by Sheriff.
- Enters orders and opinions of the court. Ensures appropriate parties are served with copies.
- Greets and assists the public and court related personnel. Provides customer service in person, by phone, and in writing.
- Operates a busy multi-line phone system. Receives, opens, sorts, and distributes mail. Processes returned/undeliverable mail.
- Performs back-up cashier duties. Enters account adjustments. Reviews balances and creates financial groups for invoicing.
- Receives, enters, and accounts for money received by the court for filing fees and bond/registry deposits.
- Administers oath and secures signature from litigants posting bail bonds.
High school diploma (or GED equivalent).
ExperienceOne (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
NotesA Bachelor's Degree may substitute the required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
A Paralegal Certificate may substitute the required work experience.
Knowledge, Skills, And AbilitiesGeneral office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill InCustomer service and handling problems tactfully and patiently.
Typing on a personal computer.
Accuracy and attention to detail.
Ability ToUse standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.
Use and maintain alphabetical and numerical filing systems.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
Understand and abide by departmental rules, regulations, and procedures.
Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation, and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
Physical RequirementsSedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
