Receptionist, Administrative/Clerical
Responsibilities
- Checking patients in for Outpatient appointments
- Booking, cancelling and rearranging Outpatient appointments
- Management of notes (tracking, requesting, etc.)
- Setting up of clinics for the day
- Associated administration tasks (completing outcomes, etc.)
- Taking inbound calls
- Maintaining a high standard of customer service
- Using hospital systems to effectively support the management of the patient journey
- Managing spreadsheets as required
- Liaising with colleagues at all levels to ensure the patient journey is smooth
To work in accordance with the Trust policies at all times, the Outpatient reception team covers six busy reception areas within Torbay Hospital:
Main Outpatients Reception, Eye Clinic Reception, Fracture Clinic Reception, MAAT Reception, Paediatrics Reception and Crowthorne Reception. The team is comprised of 15 staff providing reception services for a multitude of specialties across Outpatients.
We are looking for a friendly, customer‑service focused individual who shares our core Trust values. The ideal post holder will have previous reception/admin experience and be able to provide a high standard of customer service. This role involves contact with patients, clinical and administrative staff, requiring organisation and the ability to work in a busy environment.
Working days are Monday – Friday, with hours varying between 07:30 – 17:30 (7.5 hour shifts with 1 hour lunch).
