Overview
An exciting administration opportunity has arisen to work within our Adult acute wards at Torbay Hospital. We are looking for a full-time (37.5 hours) Ward Administrator to join us on Salus and Haytor, 16-bedded inpatient Mental Health Wards that support adults with acute mental health illness requiring hospital admission.

Main duties and responsibilities- Work at the ward reception area.
- Serve as the first point of contact in the ward; greet patients and their family members and answer the doors to the ward.
- Answer phones and liaise with external agencies.
- Provide administrative support to the Ward Manager and MDT.
- Take minutes of MDTs, business meetings and ad-hoc professional meetings.
- Amend and update staff rotas (Health Roster).
- Order supplies.
- Upload patient records and staff files.
- Manage petty cash and produce packs for patients.
This role is aligned with the Ward Manager and MDT to enable the provision of high-quality care to service-users.
RequirementsExperience and Skills – Essential
- Previous experience in an administrative or secretarial environment.
- Experience handling confidential and complex information.
- Ability to take accurate formal and informal minutes.
- Excellent organisational skills and ability to prioritise workload and adapt to change.
- Ability to multi-task under pressure and use Microsoft Office.
Knowledge and Skills – Essential
- First point of contact for patients, visitors, and staff within the ward.
- Manage front-of-ward operations, including reception duties and patient inquiries.
- Oversee the ward reception area to maintain a welcoming and efficient environment.
- Deliver front-facing support by greeting and assisting all individuals entering the ward.
- Act as central liaison for internal and external communications at the ward entrance.
- Intermediate IT skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and knowledge of diary management, appointments, electronic records and filing.
- Ability to meet deadlines and work under pressure.
Desirable
- Experience or knowledge of using Systm
1. - Experience in healthcare environments and an interest in mental health care.
- ICDL or typing/IT qualifications may be advantageous.
Essential
- Business Administration Level 3/T Level in Management and Administration, or proven equivalent experience.
- GCSE English or equivalent.
- Evidence of continuing professional and personal development.
Desirable
- ICDL or equivalent IT qualification.
- Typing or IT qualification.
