TheOpportunity
Under Sunwing Vacations, we are looking for a Group Sales Coordinator to join us in making vacation dreams come true. As the Group Sales Coordinator you will be responsible for providing booking administration support to the accounts and Group Sales Representatives as assigned. This includes making and modifying bookings and other skilled tasks to ensure group customers and travel agents are serviced quickly and efficiently.
Professional, helpful, and friendly communications with customers is required, both written and by phone to nurture customer relationships and drive customer retention and referrals. The position reports to the Group Sales Supervisor and will be located in Toronto, ON

What You’ll Do- Process group booking requests.
- Check quote against booking system and verify rates.
- Balance accounting on file.
- Work with Payload, Inventory or Costings if specific inventory is required.
- Confirm booking number with Group Sales Representative (GSR). Handover to GSR for contract and initial invoice issuance.
- Identify group leader on the booking and obtain contact information.
- Follow up on payments and outstanding balances with the customer. Escalate collection challenges to the GSR.
- Process modifications requested by GSR or customer.
- Process group block seating and seat selection requests.
- Process booking releases based on contracted policies.
- Prepare booking with final rooming list.
- Issue invoices for booking modifications to keep customer updated on bookings status and balances due.
- Issue E-Docs when necessary.
- Validate and adjust insurance on file as necessary.
- Correct duplicate seat selection.
- Add complimentary Elite Plus seat assignment for wedding couples and group leaders.
- Follow up on pending names and dates of birth.
- Add FIT transfers details.
- Attend trainings as assigned by management and Group Sales Trainer.
- Maintain product knowledge and participate in ongoing training as scheduled.
- View Product Webinars.
- Organize information provided for quick reference when required.
- Stay current on procedural changes and updates.
- Assist with answering call queue as needed.
- Monitor email inboxes pertaining to Coordinator file administration.
- GSR vacation coverage.
- Own and manage some special groups end to end as assigned.
- Other tasks as assigned.
- At least 1 year of administrative and customer service experience.
- Proficient time management skills with the ability to multi-task and prioritize.
- Strong organizational skills and attention to detail.
- Experienced and comfortable with customer interactions.
- Effective language and communication skills including proper phone and email etiquette.
- Problem solving skills.
- Ability to work independently and contribute to a collaborative team environment.
- Computer skills (Microsoft Office) and experience with reservation systems is an asset.
- Tico certification is required when the position is offered.
