About the Role
The Executive Business Partner is a senior operational partner embedded in the Office of the CEO.
This role acts as the control plane for the Founder’s time, attention, recruiting efforts, and execution leverage.
The EBP works closely with the Founder, VP of People, and VP of Strategy to ensure CEO-driven priorities, especially recruiting and talent decisions, move quickly and cleanly from intent to execution. This is a systems-oriented, AI-savvy role focused on routing, coordination, and leverage rather than task execution.
Core Responsibilities:Office of the CEO Operations
- Serve as the operational backbone of the Office of the CEO
- Track decisions, follow-ups, and commitments from CEO discussions
- Ensure CEO-driven initiatives do not stall between functions
- Coordinate across People, Strategy, and other leaders as needed
- Own intake and routing of inbound requests to the CEO
- Reduce reactive interruptions and context switching
- Maintain calendar integrity and meeting hygiene
- Ensure the CEO enters meetings context-complete
- Partner with the CEO on active recruiting efforts
- Coordinate CEO interview scheduling and preparation
- Ensure hiring briefs, scorecards, and context are available
- Attend hiring debriefs and/or capture outcomes and decisions
- Track CEO feedback and route it to People/HR
- Ensure recruiting loops involving the CEO move quickly and decisively
- Direct and manage Virtual Assistant(s)
- Hire, onboard, and manage a part-time local Personal Assistant
- QA execution quality and close loops
- Train assistants to operate independently via SOPs
- Own and evolve the executive SOP repository
- Translate CEO preferences into repeatable workflows
- Leverage AI tools to:
Draft and maintain SOPs, Automate repetitive coordination, Improve briefing, summarization, and follow-ups, Continuously identify opportunities to reduce manual work through automation
- Attend leadership or hiring meetings as appropriate
- Capture decisions, actions, and owners
- Ensure outputs are routed into execution systems
- Adjust level of participation based on presence of a Chief of Staff
The ideal candidate is a senior operational partner who thrives in high-trust, high-judgment environments and is comfortable acting on behalf of an executive.
You bring:
- 7–12+ years experience in senior EA, executive operations, or partner roles
- Experience supporting CEOs in high-velocity environments
- A proven track record of owning executive flow, filtering, routing, and prioritizing work rather than simply executing tasks
- Strong judgment and comfort acting on behalf of an executive
- Systems-oriented and AI-savvy
- Experience managing assistants
- Excellent written and verbal communication
- Calm, decisive, low-ego
This role has a base salary range of CAD $70,000–$120,000
, depending on experience and fit.
