Responsibilities
  • The HR Coordinator manages the clerical duties for the human resource department and provides a complete HR service to employees throughout their lifecycle with the company.
  • Offer onboarding experience and employee advice and assistance; support training & development and employee offboarding.
  • Assist and coordinate a portion of HR activities including new hire onboarding paperwork, basic reporting, and data management.
  • Maintain Human Resources data, manage department coordination and record management, update personnel files, and prepare essential documentation for managers and employees.
  • Handle confidential employee and organizational information with professionalism and confidentiality.
  • Advisory and consultancy service to staff and management on a range of HR issues, procedures and policies in line with employee standards, legislation, and guidelines.
  • Know and communicate HR policies, processes and systems to relevant stakeholders; resolve problems with HR advice, counsel, and decisions.
  • Build and maintain relationships with key stakeholders by initiating regular interactions and acting as a trusted advisor.
  • Keep abreast of trends and legislation related to organizational change, employee engagement, and best HR practices to optimize service delivery.
  • Organize resources for new employees (IT equipment, access cards, stationery as appropriate) and coordinate induction of new staff.
  • Assist with coordination and collation of performance reviews and contribute to ongoing development of HR policies and procedures.
Employment Contracts
  • Draft contracts of employment and manage the contract renewal process.
  • Liaise with Heads of Department (HODs) and employees regarding contracts and renewals.
System Administration
  • Organize and maintain department electronic and paper filing systems, archive and retrieve records, and ensure timely responses to critical deliverables.
  • Ensure the HR database is up to date, accurate, and compliant with legislation.
  • Enter data about new employees into the Human Resources Information System and store all documentation in personnel files.
  • Maintain database of staff including records of qualifications and certification.
  • Maintain up-to-date document templates to support HR functions and ensure staff records are well maintained.
  • Comply with data protection guidelines and maintain ESS and Linked In Learning systems.
Payroll
  • Liaise with payroll on a bi-weekly basis and ensure payroll is accurately executed each month.
  • Work with the Finance department to coordinate and implement relevant policies and procedures.
  • Assist with resolving salary queries and notify payroll of changes to staff terms and conditions; act on management instructions in a timely manner.
Desired Qualifications
  • Degree in Human Resources, Organizational Psychology or a related field
  • 2-3 years of experience with HR administration and coordination
  • French and Spanish would be advantageous
  • Knowledge of basic HRIS systems is essential

Our competitive compensation package has been designed to reward employees’ skills, competencies and performance that align with our culture. The compensation range for this role is $55,000 to $65,000 annually, depending on experience and qualifications.
