TheWork
The Renewal Administrator is responsible for providing administrative support to the Renewal Specialists and completing final review of renewed files to ensure terms and conditions offered have proper approval and all procedural, risk and compliance requirements for the department have been met for each of the loans renewed.
Core Responsibilities- 1. Administration (50%)
- Prepare letters and documents for borrowers as deemed necessary:
Solicitation Pre-Renewals, Renewal Reminder Advices, Non-Renewal Notices, Legal Notices, Mortgage Loan Renewal/Conversion/Extension Agreements and Renewal Confirmations while adhering to stipulated timelines - Accurately process loan renewals on the mortgage system upon receipt of signed documents and other required documents
- Ensure all new borrower contact information is updated in the system
- Gather borrower/property data to accurately determine pricing for renewal purposes
- Ensure all actions to the file are accurately documented in the customer tracking database
- Prepare letters and documents for borrowers as deemed necessary:
- 2. Post Renewal Audit (40%)
- Audit files renewed and follow checklist items to ensure the Mortgage Loan has been renewed as stipulated in the signed Mortgage Loan Agreement
- Ensure all required documents are correctly archived electronically
- Ensure the file meets Anti-Money Laundering and Anti-Terrorist Financing requirements to minimize risk
- Review other components of the mortgage, including HELOC, broker consent/fees, securitized loans, partner loans and intended nature of business to ensure compliance
- Follow up on deficiencies with Renewals Specialists and close all gaps with proper sign-off
- 3. Reporting (5%)
- Systematically track all interactions with borrowers and external parties
- Maintain and update miscellaneous reports to support departmental reporting
- 4. Other (5%)
- Complete additional projects and tasks related to SFR Renewals as assigned by management
- Be team oriented and collaborate with Equitable Bank employees across departments to better serve borrowers
- Completed post-secondary program in a related discipline and/or 2-3 years of related experience
- Superior interpersonal and communication skills, both written and verbal
- Ability to perform under pressure
- Basic mathematical skills
- Computer literate (MS Outlook, MS Word, MS Excel)
- Self-motivated to meet tight deadlines
- Results/goal achievement oriented
- Ability to balance multiple priorities simultaneously; organized multitasking
- Team oriented
- Working knowledge of residential mortgages, processes and products offered by Equitable Bank

The incumbent will be working hybrid; time in the office is spent at Equitable Bank s additional office space located at 2200-25 Ontario Street, Toronto, ON
