Type of Employment: Full-time, based on a 35-hour per week work schedule
Compensation: Annual salary of $60,000 – $75,000 per year, plus a comprehensive benefits package
Work Location: At our waterfront campus in Toronto
Duties- Interface with Harbourfront Centre staff, programming partners, sponsors and clients to assess event needs, answer questions, assist with unique circumstances and develop new solutions.
- Manage the production activities during assigned events including prioritizing and organizing workflow, responding to problems, and ensuring that safety procedures are followed.
- Attend planning, programming, partner and client meetings to exchange information, ideas and detailed logistics to ensure successful event operations.
- Create detailed production schedules and provide cost estimates in advance of events.
- Participate in regular department meetings and follow through on event operations action items.
- Advance artist performances including producing production schedules, obtaining quotes for performance needs, communicating details to various departments and scheduling deliveries.
- Participate in the evaluation of festivals, events and performances, making recommendations and implementing procedural changes.
- Obtain competitive quotes from external vendors and evaluate accuracy.
- Review event reports, address action items and update event records with post-event metrics.
- Create packages of event information for the various service departments and the Event Operations staff to facilitate the execution of events.
- Act as a resource and coordinate with various service departments including, Technical Services, Security, Site Operations, Front of House, and Marketing & Creative Services prior to, and during the execution of assigned events.
- Supervise the activities of the part-time Assistant Event Coordinators team including participating in training, providing assistance, and providing individual performance feedback to the Manager, Event Operations.
- Assist with the annual orientation of the Assistant Event Coordinators resource pool.
- Assist the Director on Duty during festivals/events as required.
- Complete show and event settlements in a timely manner for remittance and invoicing. Reconcile all event expenses and submit invoices and expense reports.
- Ensure all assigned events, staffing, production schedules and other related functions are captured in Harbourfront Centre’s event management systems.
- As needed, assist the Manager, Event Operations in the development of operational procedures for the department.
- Orientate clients and production partners to safety, technical characteristics and other areas of facility operations. Facilitate the use of the services by the resident company and others engaged by or renting the facility.
