Position: Associate, Real Estate Development (Project Coordinator)

Key Responsibilities

  • Support Development and Project Management staff as required with day-to-day project tracking and client deliverables.
  • Assist with municipal construction approvals including building permits, temporary and permanent utility connections and other miscellaneous permits.
  • Meeting/calendar coordination and bookings with construction manager, partners, client and consultant teams.
  • Work closely with the Development team and Project Managers to prepare and distribute meeting agendas, meeting minutes, and other key project reporting and communications. Coordinate all internal and external meetings.
  • Support in tracking of all financial details related to contracts, committed costs, change orders, invoicing, etc. to ensure accurate, real-time reporting.
  • Track Project schedules and key project milestone schedules for accurate, real-time reporting on critical dates.
  • Support preparation of any regular Project Status / Executive Status reporting.
  • Lead the preparation of various Consultant and Construction Management RFPs and prepare analysis of submissions and provide guidance on completeness.
  • Review drawings for inconsistencies and design efficiencies.
  • Support in overseeing all on-site activities.
  • Assist in plan and specification analysis to provide clear, trackable, and coordinated interpretations of the design/drawings for construction.
  • Advise Project Manager of potential problems and assist in resolving issues.
  • Complete bid comparisons and review all construction tenders.
  • Maintain comprehensive project documentation.
  • Assist in maintaining and updating active project files, including logging deliverables, information on changes, and project correspondence.
  • Collecting, organizing, and tracking due diligence deliverables.
  • Editing/proof-reading communications to management.
Job Requirements

Education and Experience
  • 2-3 years experience in a Real Estate Development, Construction, Project Management or Engineering environment
  • Undergraduate degree in Engineering, Urban Planning, Architecture, Construction, or a related discipline.
  • Certified Associate in Project Management (CAPM)® designation, Project Management Professional (PMP)® designation, or Project Management Certificate from a qualified University or College would be considered an asset.
  • Experienced in reading and understanding architectural and civil drawings, Purchase and Sale Agreements, and Development Agreements including Municipal Planning Documents is considered an asset
  • Knowledge of municipal review and approval process.
Qualifications
  • Excellent computer skills with a strong proficiency in Microsoft Word, Excel, PowerPoint, Project, Bluebeam Revu and Acrobat Pro
  • Strong organizational and time management skills to multi-task/prioritize and work under tight timelines.
  • Ability to travel to job/project sites and other locations is required.
  • Maintain high qualitative and quantitative standards of work performance.
  • Continuously strive to improve skills and work knowledge; keeps up to date in the field of specialization.
  • Cooperate and collaborate with other teams to achieve corporate goals and objectives as to quality, service, cost and profit.
  • Strong attention to detail with excellent follow-up skills.
  • A professional demeanor with strong written and verbal communication skills.
  • A methodical thinker with excellent problem-solving capabilities.
  • Ability to read working drawings.
  • Ability to work in a fast‑paced environment.
  • Ability to develop excellent relationship management skills with team, municipal staff and consultant team.
  • Ability to speak other languages is considered an asset.

The expected annualized base salary range for this position is $70,000 - $90,000. The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, and relevant education or training.
