What is the Opportunity?

Reporting to the Manager, Student Services of the Oscar Peterson School of Music, the Camp Coordinator works with camp staff, building staff, and volunteers to ensure the camp experience at the Oscar Peterson School of Music meets the expectations of participants and the high program values of the department.

This role provides programming, administrative, logistical, and communications support to ensure successful delivery of camp programs, through which participants will enjoy the many health and cognitive benefits of learning music.

Main

Duties & Responsibilities

Camp Preparation

  • Partaking in preliminary training and preparation prior to the start of camps.
  • Supporting with interviewing potential volunteer candidates and determining suitable assignment.
  • Purchasing needed camp supplies and materials before the start of camps, according to the Oscar Peterson School of Music camp's budget.
  • Dividing participants into functional groups and creating individual participant schedules as required.

Communications

  • Coordinating parent/guardian and participant resources (e.g., forms, etc.).
  • Communicating with parents regarding camp operations.
  • Communicating with instructors and staff about volunteer placements and expectations.
  • Coordinating communication among instructors and staff to organize weekly recitals.

Staff and Volunteers

  • Training camp counsellors and volunteers.
  • Leading daily volunteer meetings and providing ongoing training and feedback.
  • Receiving feedback from counsellors and taking appropriate action to make improvements where possible.
  • Supervising camp counsellors and volunteers during camp hours.

Camp Operations

  • Coordinating sign-in and sign-out procedures to ensure the safe arrival and departure of participants.
  • Planning active programming for Early Care (8:00-8:30 a.m.) and Extended Care (4:30-6:00 p.m.).
  • Coordinating overall movement of participants and instructors around the building to ensure a safe and positive camp experience.
  • Coordinating special camp programming (e.g., recitals, balloon toss, etc.)
  • Liaising with the Service Desk for camp operations (e.g., late arrival, etc.)
  • Liaising with Academic Scheduling staff to coordinate camp spaces (setup, equipment).
  • Resolving participant, volunteer, and parent/guardian issues as required.
  • Providing participant supervision as required.
  • Suggesting ideas for program enhancements or improved logistics.

Performing other duties as required.

Job Requirements What We're Looking For
  • Experience working with elementary and high school-aged student programming, preferably in an arts or camp setting.
  • Experience providing childcare, preferably in a camp setting.
  • Experience working in an administrative capacity, preferably in an arts and/or camp organization.
  • Post‑secondary studies, or planned studies, in music, music education, teaching, social work, or recreation would support success in this role.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and relationship‑building skills.
  • Excellent customer service skills coupled with a positive attitude and the ability to work both independently and in a collaborative team environment.
