The Operations Manager is responsible for the effective day-to-day operation of Academy, ensuring the agency runs efficiently, profitably, and in alignment with our culture and standards.

This role owns how work gets done across the business: spanning people, process, systems, and financial performance. You are both strategic and execution-focused, driving clarity, consistency, and accountability while continuously improving how the agency operates.

You not only exemplify Academy’s culture, you actively enforce, scale, and operationalize it.

Key Responsibilities Resourcing and Capacity Planning
  • Forecast and allocate resources at least one month in advance, partnering closely with department leads and account teams
  • Ensure projects are staffed accurately against approved scopes, budgets, and timelines
  • Maintain real-time visibility into team workloads, availability, and resourcing risks
  • Provide recommended and contingency resourcing options and proactively adapt as priorities shift
  • Own the resourcing process end to end, including continuous improvement and compliance
Freelancers/External Resources
  • Build and maintain a strong, reliable roster of freelancers
  • Manage freelancer contracts, availability, rates, and invoicing
  • Ensure external resources are integrated into projects efficiently and compliantly
  • Monitor and optimize billable utilization across teams
  • Review time tracking and project data to identify inefficiencies and improvement opportunities
  • Translate utilization insights into clear recommendations and actions with leadership
  • Regularly assess agency costs (tools, subscriptions, freelancers) to ensure efficiency and value
Systems, Tools & Compliance (Teamwork Ownership)
  • Act as the owner and subject-matter expert for Teamwork, ensuring it is used consistently and effectively across the agency
  • Lead and support the migration to Teamwork, defining best-practice workflows for resourcing, project management, and time tracking
  • Ensure data accuracy, consistency, and adoption during and after migration
  • Train and support team members on required tools and ways of working
  • Enforce compliance with agreed processes and tools, addressing gaps and reinforcing expectations when needed
  • Regularly review system data to surface insights and improve operational decision-making
Internal Projects & Process Improvement
  • Lead key internal initiatives and operational projects from concept through execution
  • Identify opportunities to simplify, standardize, and improve agency processes
  • Develop clear, practical documentation and roll out new ways of working
  • Follow up post-launch to ensure adoption, compliance, and continuous improvement
Agency Operations & Culture
  • Work cross-functionally to eliminate silos and improve collaboration
  • Support a results-oriented culture aligned to agency and departmental OKRs
  • Reinforce company policies, processes, and cultural standards as outlined in the Handbook
  • Support onboarding and offboarding in partnership with the EA
  • Proactively introduce initiatives that support employee and business growth

Skills & Experience
  • 3–5 years’ experience in operations, project management, or a similar role
  • High EQ with the ability to hold direct, constructive conversations
  • Strong analytical and problem-solving skills
  • Exceptional organizational skills and attention to detail
  • Financial acumen and comfort working with utilization and cost data
  • Proven ability to own systems, enforce processes, and drive change
  • Proactive, accountable, and team-oriented

Salary: the salary for this role is $85,000/year
