Position Overview:
We are seeking a highly organized, proactive, and personable Administrative Assistant to support our executive leadership team and assist across departments. This role requires someone who thrives in a fast-paced environment, communicates confidently with stakeholders across the country, and can independently manage logistics and coordination for a busy corporate office, including events, meetings and activities
The successful candidate will provide direct administrative support to the CEO and CFO while also taking ownership of corporate office facility management, logistics and travel support, events and meeting bookings.
Key Responsibilities
Executive Support:
- Manage and coordinate the CEO and CFO’s calendars, meetings, and appointments with both internal and external stakeholders;
- Prepare reports, presentations, and correspondence on behalf of executive leadership;
- Anticipate scheduling conflicts and proactively manage priorities;
National Event Coordination:
- Plan and execute corporate meetings, conferences, and events across the country;
- Coordinate venues, vendors, travel arrangements, accommodations, and event logistics;
- Communicate directly with clinic teams and external partners to ensure smooth execution;
- Build and maintain strong professional relationships across our clinic network;
- Oversee event setup and logistics, including handling shipments, boxes and other materials as required;
Administrative & Cross-Departmental Support:
- Assist various departments with administrative needs and special projects;
- Create internal materials and presentations using Microsoft Office and Canva;
- Maintain organized financial, legal, insurance and lease filing systems;
- Support internal communications and coordination across teams;
- Uphold high standards and exercise sound judgement in handling confidential matters and materials;
- Adapt to evolving priorities and organizational needs;
- Order and organize office food program and ensure adequate facility supplies;
- Ensure corporate conference rooms and meeting facilities are managed at a high standard;
