Position: Executive Assistant to Senior Leadership Team

Location: Downtown Toronto

Salary: $80,000 - $90,000 per year + bonus

Quantum is recruiting an organized and proactive Executive Assistant to support a senior leadership team at a dynamic, high-growth organization. In this role, you will play a key role in keeping executives on track and ensuring smooth day-to-day operations.

This role is heavy on calendar management and expense processing, providing the ideal opportunity for someone who thrives on organization, attention to detail, and supporting multiple executives.

Responsibilities
  • Provide dedicated administrative support to four senior leaders, including VPs and Directors.
  • Manage complex calendars, schedule meetings, and coordinate priorities to keep executives organized and on track.
  • Process and manage expenses for all four executives, ensuring accuracy and timely submission.
  • Assist in preparing materials and consolidating documents for quarterly leadership board meetings and other executive presentations.
  • Handle ad hoc administrative tasks as needed to support the leadership team.
Qualifications
  • Proven experience as an Executive Assistant supporting multiple senior leaders, preferably in a corporate or professional services environment.
  • Strong calendar management and organizational skills, with excellent attention to detail.
  • Experience with expense reporting and basic financial administration.
  • Excellent communication and interpersonal skills, with a professional and proactive approach.
