Administrative Coordinator Global Banking and Markets
Overview
The Administrative Coordinator provides high quality administrative support to the Corporate and Investment Banking (CIB) team within Scotiabank’s Global Banking & Markets Division in Canada. The role ensures compliance with regulations and internal policies while building strong partnerships across the bank.
What You’ll Do- Prioritize workload to meet group objectives and deadlines.
- Ensure compliance with policies and coach the CIB team to evidence adherence.
- Drive efficient operations and maintain day‑to‑day controls for operational, regulatory, AML/ATF, and conduct risk.
- Champion a high‑performance environment, fostering an inclusive culture and supporting team development.
- Mentor junior admin staff, resolving and escalating day‑to‑day support issues.
- Contribute to process improvement and ensure alignment with global administrative policies.
- Client‑related support:
- Calendar management: coordinate team schedules and arrange client meetings, including logistics.
- Travel management: arrange international travel, visas, itineraries, and follow up.
- Expense management:
- Compile receipts and prepare extensive expense reports, ensuring accurate client coding.
- Submit invoices to Accounts Payable and follow up on outstanding items.
- Maintain client data using Excel and Salesforce, and update client call reports.
- Coordinate client events, including booking, planning, inviting clients, and follow‑up.
- Organize and maintain administrative files, correspondence, and support pitch book binding.
- Handle office phones, screen calls, and arrange conference and videoconferencing.
- Execute ad‑hoc projects: gather data, manage logistics for client events, track key client dates, and ensure team attendance.
- Serve as point of contact for visiting staff, pre‑register guests, assign office passes, desk space, and room bookings.
- Post‑secondary training in business administration or related field.
- 5–7 years of experience in a business administration support function.
- Strong technical skills in MS Office 2010.
- Excellent coordination, organization, time‑management, and prioritization skills.
- Attention to detail, resourceful, and accountable follow‑up.
- Proactive problem‑solving ability and independent decision making.
- Clear, articulate communication in oral and written form for all organizational levels.
- Flexibility, high tolerance for change, and quick learning.
- Ability to handle sensitive materials under tight deadlines.
- Desire to proactively create a positive experience for others.
This position is largely onsite, with an expectation of 4–5 days a week in the office. The arrangement may change based on business needs.
