Position: Legal Administrative Assistant - Business Law/ Capital Markets

Overview

McMillan has an exciting opportunity for a Legal Administrative Assistant in our Toronto Business Law and Capital Markets group. As a member of the team, you will play a key role in managing the legal and administrative aspects of the practices of a team of successful legal professionals. This role offers a hybrid workweek, with some days at home and others in the Toronto office.

Your hybrid schedule will start once you join McMillan.

What You’ll Do
  • Act as the go‑to person for your team, providing guidance and organizational support
  • Produce documents and draft correspondence
  • Open new client matters and manage related administrative processes
  • Organize and maintain documents within the document management system
  • Support billing activities, including docket review
  • Manage calendars and coordinate meetings
  • Maintain and update client contact information
  • Assist with tracking business development activities
  • Prepare marketing materials
  • Coordinate travel arrangements
  • Handle conference registrations
  • Assist with transactions and closings
  • Leverage technology to support legal professionals and clients efficiently and effectively
What You’ll Bring
  • A Legal Assistant or Office Administration Diploma with a minimum of seven to ten years of administrative experience, preferably in a business law/capital markets or transactional setting, supporting multiple legal professionals including senior partners with a busy, client-focused practice
  • Strong administrative, organizational, and interpersonal skills
  • High attention to detail and ability to meet deadlines
  • Comfort working in fast‑paced environments and within team settings
  • Commitment to delivering exceptional client service
  • Eagerness to expand knowledge and adopt new technologies
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Pro
  • Prior experience with iManage, Intapp, and 3E or similar document management, file opening, and accounting software required
