Position Overview:
Forum Asset Management is seeking an Administrative Assistant | Front Office Reception, reporting to the Senior Executive Assistant, Corporate Operations. The successful candidate will be a key point of contact for visitors and team members, while maintaining a welcoming and professional environment. Duties and Responsibilities:
Administration
Welcome visitors to Forum and ensure they are properly directedMaintain boardroom bookings and monitor the main office phone lineOrder and restock office supplies and groceries for the teamMaintain and monitor office supply inventory levels, including kitchen, bathroom, office, printer, and workstation suppliesMonitor the kitchen, boardrooms, and common areas and ensure order and cleanlinessCoordinate couriers, pick up and distribute mail accordinglyUpdate and maintain corporate subscriptions and membershipsMonthly reconciliation of corporate credit cardsTrack and remind team members of quarterly objectivesCoordination and Maintenance
Record, track and maintain document storage and filing systems on-site and off-siteServe as liaison between IT vendor and internal team for coordination and issue resolutionCoordinate maintenance service tickets and appointments with property management vendorSupport
Work collaboratively with and support the Senior EA, and take on administrative tasks as assignedProvide administrative support to the broader Forum team, including Leadership members, for example, updating Power Point presentations, scheduling travel, calendar management, etc.Assist with new employee workstation setup and/or internal relocations, and new hire onboarding schedulingAssist with event planning, and on occasion support events that occur in eveningsSupport and participate in the Health & Safety Committee, policy updates and programCandidate Profile:
