As an Executive Assistant III, you will provide dedicated administrative support to an Executive Vice President and to the broader team as assigned.
Responsibilities- Own and maintain calendar management for the dedicated leader, troubleshooting conflicts with creative solutions.
- Coordinate travel, including international arrangements and re‑scheduling due to delays. Manage meeting rescheduling with internal and external parties.
- Process expenses for the leader and ensure timely completion.
- Assist in coordinating in‑office or virtual meetings, townhalls, and off‑site events, including booking spaces, agenda development, technology setup, and catering.
- Maintain confidentiality; access leaders’ email to prioritize tasks and perform administrative work on behalf.
- Apply due diligence to ensure accuracy in finishing ad‑hoc tasks (reports, invoices, communications, tables, charts, files).
- Inform the immediate team regularly on project status and relevant day‑to‑day information.
- Provide vacation/temporary coverage for colleagues and additional leaders.
- Mentor junior assistants and support complex joint tasks.
- Collaborate with other executive assistants and internal/external partners.
- Undergraduate degree preferred with over 5 years of relevant experience.
- Extensive knowledge of Windows, Microsoft Office Suite, and internet applications (Outlook, PowerPoint, Word, etc.).
- Experience coordinating complex travel arrangements and managing frequent changes.
- Excellent communication skills with active listening, question‑asking, and effective communication.
- Proven track record as an executive assistant.
- Demonstrated leadership skills for mentoring junior colleagues.
- Excellent organizational skills with ability to multitask and adapt in a fast‑paced environment.
- Strong judgment skills; support initiatives with discretion for confidential information.
- Ability to interpret TD policies and assist executives in applying these standards.
