the Opportunity

UJA Federation of Greater Toronto is seeking a highly resourceful, positive, and proactive individual with strong interpersonal skills who can work as a key part of the Office of the CEO. Reporting to the Director of the Office of the CEO, this role focuses on the operational and administrative aspects of the CEO office and broader UJA office support.

Responsibilities
  • Provide administrative support to the CEO office, including screening phone calls, scheduling meetings, managing email, and greeting guests.
  • Provide administrative support on stewardship, notices, and milestone events.
  • Provide backup to the CEO office when the Director is on vacation.
  • Manage the financial administration for the CEO office (invoices, payment requisitions, credit‑card reconciliation, etc.).
  • Ensure data from the CEO office is logged in Salesforce in a timely manner.
  • Provide project coordination to the CEO office for key initiatives.
Qualifications
  • Calendar and Email management experience.
  • Minimum of 3‑5 years’ experience in an office environment.
  • Passionate advocate and visible champion of UJA’s mission, values, and goals, inspiring others through action and unwavering commitment to advancing our shared purpose.
  • Experience in project coordination and ability to anticipate logistical and administrative needs.
  • Ability to work in a fast‑paced environment, supporting multiple stakeholders in a calm and professional manner.
  • Ability to work with budgets and other financial data.
  • Exceptional organization, decision‑making skills, and high EQ an asset.
  • Excellent communication—verbal, written, interpersonal, and relationship skills.
  • Knowledge of computer programs (Word, Outlook, Excel, PowerPoint) and ability to learn new programs.
  • Strong initiative, problem‑solving skills, and sound judgement needed to coordinate and maintain activities, make informed decisions, and address complex situations.
  • Must be proactive, able to work independently as well as part of a team.
  • Demonstrated ability to manage sensitive issues with the highest degree of confidentiality and discretion.
Compensation & Benefits

* This is a.Special full-screen experience. This is a full‑time permanent position. Salary Range: $64,000–$74,000 annually, based on experience. UJA supports a flexible work schedule, hybrid work, a rich time‑off policy, offices close on all Jewish holy days (Yom Tov), and early office closures to observe Shabbat.
