Your opportunity:

The Department of Visual Studies is a small and dynamic department that offers a range of courses and programs that cultivate visual literacy through the study of the history, theory, and practice of art, film, and visual culture. We are committed to understanding the meaning and power of images and their impact on our lives and communities. Under the general direction of the Chair, and reporting to the Department Manager, the incumbent provides administrative assistance to the Chair including academic processes for searches, reviews, tenure and promotion, reception support, general administrative support to the Department of Visual Studies such as acting as the first point of contact, coordinating meetings and events, and liaising with students.

Your

responsibilities will include:
  • Applying established standards when administering academic search activities
  • Following administrative rules and procedural instructions
  • Collecting documentation required to carry out the tenure and review processes from senior leadership
  • Collecting feedback from PTR committee members
  • Passing on dossiers to committee members for review
  • Determining logistical details and activities for events and/or programming
  • Coordinating meeting schedules, agendas, materials, action and follow‑up items
  • Informing senior staff of impending deadlines
Essential

Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of related experience.
  • Proficient with the use of PC/MAC including standard Microsoft Office software.
  • Experience maintaining websites and related software.
  • Minute‑taking skills are required.
  • Excellent organizational, verbal and written communication skills.
  • Ability to work well under pressure and maintain confidentiality.
  • Familiarity with University systems including ROSI/ACORN and Blackboard/Quercus is highly desirable.
  • An aptitude for creative design using Word and publishing software an asset.
