Executive Assistant to the President & CEO

The Executive Assistant is a trusted, highly organized partner to the President & CEO, ensuring the CEO’s time, priorities, and workflow run with precision. This role manages complex scheduling, prepares meetings and materials, oversees travel, tracks follow?ups, and keeps communication flowing smoothly across the organization. The EA anticipates needs, removes friction, and supports the CEO’s daily rhythm so they can stay focused on leading the business.
The role also includes light office administration and coordination of internal events, vendor support, and office systems. Success requires strong judgment, discretion, proactive thinking, and the ability to stay calm and effective in a fast?moving environment.

Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, priorities, and daily flow with accuracy and foresight.
  • Prepare meeting agendas, materials, and logistics; ensure the CEO is fully briefed.
  • Plan and manage all travel, itineraries, and last?minute changes.
  • Track follow?ups, deadlines, and commitments across teams.
  • Maintain organized systems for documents, files, and information.
  • Support communication between the CEO, internal teams, and external partners.
  • Office & Event Coordination

  • Handle office supplies, vendor coordination, and basic office systems.
  • Organize internal events, meetings, and staff gatherings, including logistics and setup.
  • Professionalism & Judgment

  • Maintain strict confidentiality and represent the CEO with professionalism.
  • Anticipate needs, solve problems proactively, and stay composed under pressure.
  • Key Qualifications

  • Expertise in complex calendar management and shifting priorities.
  • Strong meeting coordination and communication skills.
  • Experience planning multi?city travel and handling changes smoothly.
  • Proficiency with digital file systems (e.g., Dropbox) and office tools (Google/Microsoft).
  • Exceptional organization, attention to detail, and follow?through.
  • Strong judgment, discretion, and ability to operate independently
  • The expected compensation range for this role is $80,000 to $100,000.
