We are seeking an organized, detail-attentive and customer-focused Assistant Registrar, Camps with great communication and multi-tasking abilities to provide support in managing key office operations to ensure the smooth and efficient running of the camp season.

Position Title: Assistant Registrar, Camps

Department: Education, Camps

Number of Vacancies: 1

Type of Employment: Seasonal contract, from early March – early September 2026

Hours Of Work: Part-time hours in March as initial training starts, moving to an anticipated work schedule of 35-40 hours per week starting in May, taking place Monday – Friday

Rate of Pay: $19.50 per hour

Work Location: On-site at our waterfront campus in Toronto

Summary of Function

Under the direction of the Senior Manager, Education and of the Registrar, Camps, the Assistant Registrar, Camps plays an important supporting role in managing key office operations to ensure the smooth and efficient running of the camp season. Key responsibilities include implementing administrative procedures in alignment with camp policies, providing exceptional customer service and communication to guardians and caregivers via phone, email, and in-person interactions, and supporting all aspects of camper registration and the family experience throughout their time s role demands strong organizational abilities, keen attention to detail while completing multiple ongoing tasks, and excellent communication skills to effectively engage with both internal teams and external stakeholders.

Duties

  • Implement administrative procedures in alignment with camp policies and operational timelines.
  • Support all aspects of camper registration, including data entry, record management, and documentation accuracy within Camp Brain.
  • Provide timely and professional communication to parents, guardians, and caregivers via phone, email, and in-person interactions.
  • Serve as a point of contact for families, addressing inquiries, resolving issues, and ensuring a positive registration and camp experience.
  • Coordinate with internal teams and external partners (e.g., busing, meal plans, inclusion support) to ensure smooth operations.
  • Assist in the preparation and distribution of registration materials, reports, and communication templates.
  • Maintain confidentiality and accuracy of camper and family information.
  • Support day-to-day administrative operations of the Camps Office, including filing, data organization, and tracking payments or forms.
  • Collaborate with the Registrar, Camps, to identify process improvements and support special projects as needed.
  • Contribute to a welcoming, inclusive, and professional camp environment through teamwork and clear communication.
  • Perform additional duties as required in support of Camp operations.
  • Requirements

  • Post-secondary education in a field such as education, the arts, administration, or a related field, or have equivalent experience.
  • 2-3 years previous experience in camp administration, registration, or a similar customer service-focused role is an asset.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and tasks simultaneously.
  • Uunderstanding of a camp’s Duty of Care responsibility to its campers, with a strong personal focus on ensuring the safety of campers and camps staff.
  • Excellent verbal and written communication skills for interacting with families, staff, and external partners.
  • Strong problem-solving skills, with the ability to adapt to changing situations and find effective solutions independently, take ownership of tasks, and manage daily responsibilities effectively and with attention to detail.
