Job SummaryThe primary focus of this role is to provide administrative support to the Arthritis Program, Low Back Rapid Assessment Clinic and to deliver digital support to clinical and non‑clinical users of the CMS. Responsibilities include customer support, training coordination, data management and reporting.
Duties- Support user queries for CMS (over 5,000 PCPs, 150 spine rehab providers, and non‑clinical staff).
- Triage, manage, resolve and investigate emails delivered to the program inbox.
- Address CMS customer access and performance issues.
- Provide insights into user support requests and participate in weekly vendor meetings.
- Register new users in CMS compliant with privacy and security standards.
- Coordinate new‑user training sessions (group and individual).
- Provide one‑on‑one user support via video or phone.
- Maintain updated user demographics in CMS.
- Manage FAQs and CMS daily operation material.
- Manage PCP inquiries, online training, CMS onboarding and referral privileges.
- Coordinate provincial webinars with key stakeholders (regional hubs, APPs, PLs).
- Support creation of resources and educational material for LBRACs (videos, virtual‑care kit, case recordings, radiology course).
- Maintain shared drive for Operations Team documentation.
- Maintain updated contact lists for administrators, PLs, APPs and CIO users.
- Manage phone inquiries.
- Collect wait‑time data for specialist intervention (interventional anesthesiology, spine surgery).
- Run reports for quality management and quarterly reporting.
- Coordinate calendar and scheduling of team meetings.
- Collaborate with the team and provide support to the LBRAC Clinical and Administrative Program Lead.
- Minimum one (1) year of practical and related experience.
- Strong computer and digital technology skills.
- Analytical and problem‑solving ability with logical recommendations.
- Effective collaboration with internal and external stakeholders.
- Experience with data management and supporting data systems.
- Attention to detail.
- Strong interpersonal, verbal and written communication skills.
- Strong organizational and time‑management skills.
- Self‑motivated, results‑driven team player capable of independent work.
- Ability to work with minimal supervision on simple and complex tasks.
- Positive, productive teamwork with multidisciplinary teams.
- Capacity to handle high‑priority unscheduled tasks and problems.
- Understanding of the healthcare environment and of UHN.
