About us
The University Registrar’s Office (URO) is a central support team that provides institutional leadership on student financial aid & awards, student accounts, client services & records, student systems and learning space management (LSM) and convocation. The URO works with faculties and divisions to support undergraduate and graduate students throughout the student life cycle and is an advocate and service provider for University of Toronto students and tri-campus registrarial services.
The Office of Convocation is responsible for the logistical details of student and guest related elements of the convocation ceremonies at the University of Toronto. This includes over 45 annual ceremonies, 23,000 graduating students and more than 48,000 guests annually. The Office supports convocation ceremonies that respect long-standing traditions and protocols of the University while introducing innovations to enhance the graduating student’s convocation experience.
The office is also responsible for the secure year-round reissuing of degrees, diplomas and certificates, as well as the verification of graduation status of University of Toronto alumni.
Reporting to the Assistant Registrar, Convocation, the Convocation Coordinator will work closely with team members to facilitate timely and accurate execution of projects. During the convocation seasons, the office becomes a high-pressure environment with many time-sensitive deadlines and the ability to multitask while maintaining professional customer service is critical. The Convocation Coordinator responds to enquiries from graduating students regarding convocation-related and degree conferral/credentialing matters and to general enquiries from the public, redirecting enquiries appropriately;
respond professionally and with appropriate level of confidentiality to email and telephone enquiries related to degree verification from third parties worldwide while understanding what information is considered public; attends to degree confirmation letter requests and diploma-related enquiries from alumni; processes certification of degrees and diploma reorders; updates relevant forms.
The incumbent is expected to provide exemplary customer-friendly and professional service while being involved in such duties as handling convocation ticket requests; handling a high volume of telephone calls and emails; generating reports to produce galleys and proofs that are relevant to diploma and program production; prepares the convocation program booklets for all ceremonies and manages the collection of the relevant documents, ensuring the accuracy of the content and on-time delivery.
Under direction from the Assistant Registrar, Convocation, the incumbent implements strategies to continuously improve process, quality and enhancements to the student convocation experience. Coordinates, assists with and advances projects, initiatives and daily activities within the Office of Convocation that require knowledge or information about the offices staffing, University priorities and other issues related to the Office of Convocation. The role coordinates and supports projects for the automation and improvement of convocation services.
The Convocation Coordinator plays a leadership role in training, assigning workflow, coaching and supervising casual staff teams. In concert with the Assistant Registrar, Convocation, participates in the hiring and training of new staff and coordinates the volunteers and casual teams hired for convocation that includes, but not limited to, front- line staff, production staff, diploma station and marshaling teams.
