Customer Service Coordinator – Enrollment
CompensationHourly Wage: $19.14/Regular/Full-Time
Job SummaryThis position requires excellent reception of Yakama Members and the general public at the front office window, mostly standing and moving about the office. Maintain a professional, mature, and calm attitude when dealing with the public, in a well‑modulated voice. Exercise good judgment and common sense dealing with the daily demands from members for vital records, photo identification, funeral assistance, and relinquishment.
Be able to determine eligibility and release of vital and confidential information, especially tribal identification. Immediately determine appropriate staff or alternate program to refer clients. Understand and comprehend the requirements for membership and application for Yakama Nation Enrollment to accept original documents for processing in accordance with the Yakama Enrollment Act. Detail oriented while editing records in the YN Enrollment database for addresses, name changes, custody change, and filing.
Strict confidentiality required.
- Tactfully meet and greet Yakama Members and the general public in person, phone, and computer.
- Provides general office support by answering phones; taking and delivering messages, rerouting calls.
- Provide documents as requested and according to the Laserfiche sign‑in kiosk, based on eligibility.
- Search for records alphabetically and numerically either manually or electronically to fulfill requests from members or programs; return originals to designated location.
- Enter data to the Yakama Nation Enrollment Database (TEAMS); provide accurate verification to members as required.
- Responsibly provide photo identification daily using TEAMS database, camera, and digital signature pad.
- Replenish and organize Enrollment Forms.
- Other duties as assigned.
- Ability to stand long periods of time and move throughout office based on demand of clients.
- Ability to physically bend over to retrieve or replace files from fireproof cabinets.
- Perform blood calculations for corrections.
- Use telephone tactfully and courteously; transferring calls and maintaining voicemail.
- Use of stairway (18 stairs one way) to deliver and retrieve inter‑office mail is required.
- Use of copier/fax/scanner; physical ability to lift a box of copier paper (~20 lbs.).
- Use of typewriter for labels, cards, and other pertinent documents as required.
- Must possess intermediate proficiency in the use of a desktop computer.
- Use of Microsoft Applications:
Word, Excel, Outlook, Power Point. - General knowledge of the Yakama Nation Tribal Government.
- General knowledge of the Yakama Enrollment Act of 1946.
- General knowledge of Freedom of Information Act.
- General knowledge of Privacy Act.
- High School Diploma or GED; and three years office experience with Yakama Nation Public.
- Confidentiality Agreement Required.
- Successful completion of Notary Public within one year of hire.
- Required to pass a pre‑employment drug test.
- Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
