Position: Lead Conference Assistant - Student Hourly

Overview

The Lead Conference Assistant (LCA) role in Housing & Residence Life works directly with Housing & Residence Life for on-site summer programs, including group and individual stays. LCAs hold a twelve-week, 40-hour per week position with Housing & Residence Life from May 18, 2026, through August 8, 2026, with the opportunity to extend employment until August 15, 2026, depending on need.

The LCA assists the Conference Coordinator team with training, scheduling, and providing leadership to the Conference Assistant (CA) team. LCAs serve as a point of contact for select Camp and Conference groups and guide CAs through preparations, check-ins, checkouts, closing of a group, and transition periods between summer and the academic year. Lead Conference Assistants also assist with front desk management, conference check-in and check-out, building preparation, mailroom duties, and emergency response.

This role requires living on campus and, as part of compensation, housing is provided. The termination of an LCA may impact eligibility for other KU student staff roles.

Responsibilities
  • 30% Administrative Duties
  • Attend all conference staff weekly meetings (Mondays 2pm-4pm) and a weekly camps and conferences leadership meeting.
  • Serve as a point of contact for select groups and coordinate stay details, including check-ins and checkouts.
  • Perform administrative tasks related to hall and conference occupancy (key box inventory, check-ins/check-outs, lockouts, linen distribution, hall access card management, facility walkthroughs, and related guest/resident services).
  • Manage camp and conference access cards and distribute camp materials (lanyards, key packets, tables, etc.).
  • Reconcile information after check-outs and complete billing forms.
  • Ensure conference check-ins/checkouts are staffed appropriately.
  • Assist housing operations with facility requests for camps and conferences.
  • Collaborate with the conference assistant team to update and maintain signage in the halls.
  • Oversee linen management process and maintain counts/records of linens available, soiled, and exchanged.
  • Maintain regular communication with direct supervisor and other department personnel regarding group experiences.
  • Serve residents and guests through regularly scheduled front desk coverage.
  • 20% Team Leadership and Management
  • Provide co-leadership to the Conference Assistant team in collaboration with Conference Coordinators and other Lead Conference Assistants.
  • Collaborate with Conference Coordinators, Occupancy Management, Desk Operations, Residence Life, and Housing Operations staff.
  • Assist in training Conference Assistants and onboarding new staff.
  • Assist in scheduling and monitoring day-to-day work and on-call duty calendar for the Conference Assistant Team.
  • Maintain confidentiality of sensitive information.
  • 20% Departmental
  • Have strong working knowledge of KU, Housing & Residence Life, and applicable policies and procedures.
  • Represent Housing & Residence Life, Student Affairs, and the University positively.
  • Demonstrate integrity, good judgment, ethical behavior, and policy adherence.
  • Collaborate with other Housing & Residence Life and Student Affairs units on summer initiatives (openings/closings, room changes, etc.).
  • Assist in spring-to-summer and summer-to-fall transitions and related preparation.
  • Conduct check-outs for residents with documentation of any damages and charges.
  • 10% Customer Service
  • Serve as a primary information point with knowledge of Housing & Residence Life, KU, and the Lawrence community; refer residents/guests to appropriate resources.
  • Participate in front desk coverage and evening customer service shifts when buildings are open.
  • Act as contact for conference attendees; provide accurate information in a courteous manner.
  • Maintain a welcoming environment at front desks and during check-in/check-out.
  • Facilitate tours and provide housing facility information as needed.

  • Participate in a 24-hour duty coverage schedule; complete duty rounds, respond to resident issues, address crises, and document incidents.
