This Administrative Assistant, IT performs a variety of administrative and secretarial tasks to optimize the time and performance of an AVP, director, multiple managers, or employees of a department. The position may involve acting as a first point of contact, dealing with correspondence and phone calls, organizing meetings and appointments, preparing documents or reports, and controlling access to the AVP, director, manager, or the department.
It may involve handling confidential information and reports directly to the Chief Data Officer.
Location and work style:
This position is eligible to work onsite or hybrid in accordance with our Telecommuting Policy. Applicants must reside in Kansas, Missouri or be willing to relocate to another approved state as a condition of employment.
- Respond to routine requests using form letters or emails, and handle unusual requests by editing templates to create customized responses.
- Produce, update and provide best practice support on MS documents, databases and other departmental systems to support the work of leadership. Tasks can include purchasing materials, entering budgetary information, time and expense recording, and similar duties.
- Schedule appointments, plan for meetings and conferences, and organize travel plans following detailed instructions to facilitate business meetings.
- Develop a working knowledge of the organization's policies, procedures, and regulatory codes and apply them to ensure work is undertaken to the required standards.
- Participate in assessment and development planning activities as well as formal and informal training and coaching to develop and maintain excellent process or technical skills.
- Develop and deliver multi‑mode communications that convey a clear understanding of the unique needs of different audiences, keeping others well informed and conveying information clearly, concisely and professionally.
- Plan and prioritize work to meet commitments aligned with organizational goals, understanding the main tasks needed to complete work in the right sequence.
- Use clear and effective communication skills and support business processes.
- Maintains discretion and confidentiality in relationships with leadership and staff.
- Uses clear and effective verbal communication skills and provides technical guidance when required on expressing ideas, requesting actions and formulating plans.
- Supports business processes by understanding and effectively using standard office equipment while providing technical guidance as needed.
- Plan, organize, prioritize, and oversee activities to efficiently meet business objectives with guidance.
- Reviews and creates relevant, effective reports with guidance.
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Previous administrative experience preferred; experience supporting leadership in a corporate environment preferred.
- Proficiency with basic data analysis and presentation for leadership review preferred.
- Familiarity with IT ticketing or workflow systems (e.g., Service Now, Workday requisitions) to support software requests and procurement preferred.
- Base pay $20.96–$26.20 Non‑Exempt 11.
