Salary

The salary range for this position is $49,059.79 to $73,196.51 for Schedule A, and $49,059.79 to $69,536.67 for Schedule

B. For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to August 21, 2014, are considered Schedule

Position

The Ocean Vicinage is seeking a well-organized secretary to work in a professional and fast-paced environment under the general direction of a Superior Court Judge. The selected individual requires strong technical, computer and administrative skills, attention-to-detail as well as exceptional organizational skills to support the judge.

Responsibilities
  • Conform the judge's orders and maintain the workflow in/out of judicial chambers.
  • Communicate the judge's schedule with division administration and case management personnel.
  • Prepare and submit local and state reports.
  • Manage incoming and outgoing communications including mail, telephone, case conference calls.
  • Schedule and moderate court events remotely using platforms such as Zoom and Teams.
  • Procure supplies, equipment and inventory for chambers; perform additional duties as required.
  • Format and type judicial opinions and other legal documents; compose routine and non-routine correspondence; edit letters, documents, or articles.
  • Answer inquiries from the public; file records; serve as liaison between the judge and case management/operating divisions.
Qualifications & Experience
  • Three (3) years of experience in an office environment performing clerical and support services, including keyboarding and one or more of the following: preparing and analyzing legal documents, processing legal or other documents, transcribing information, and scheduling meetings or appointments.
  • Substitution:
    Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one (1) year of experience. Coursework should include typing skills, methods and procedures; other relevant courses may include office procedures, word processing and business English.
  • Testing:
    Applicants selected to interview must pass an appointing authority administered examination to demonstrate typing skills of at least 40 words per minute or provide proof of having taken a required skills test.
  • Note:

    Knowledge of legal terminology and working knowledge of Microsoft Office is helpful.

  • Driver's License:
    Appointee must possess a valid New Jersey driver's license if operating a vehicle is necessary for duties.
  • Authorization to Work: US citizenship is not required; selected candidate must be authorized to work in the US per DHS/USCIS regulations.
