Job Description

PRIMARY

PURPOSE:

The Special Education Supervisor – Transportation oversees Special Education transportation services to ensure student safety, regulatory compliance, accurate documentation, and effective coordination between Transportation, Special Services, and campuses. This role manages compliance reporting, Medicaid billing oversight, equipment management, safety inspections, and employee payroll support.

QUALIFICATIONS:

Education/Licenses/Certification:

  • Certified TAPT Pupil Transportation Supervisor
  • Possess and maintain a Texas CDL-B or A with P & S endorsement with acceptable driving record as measured by the School Bus Driver’s Record Evaluation
  • Reasonable Suspicion certification or obtain within six (6) months of hire

SPECIAL KNOWLEDGE/

SKILLS:

  • Knowledge of Special Education transportation and compliance Strong attention to detail and documentation accuracy.
  • Ability to manage multiple deadlines and ongoing reporting
  • Strong communication, organizational, and problem-solving
  • Proficiency with district transportation and student information

EXPERIENCE:

  • Three (3) years of progressive experience in the field of Student Transportation
  • Three (3) years supervision of at least 50 employees

MAJOR

RESPONSIBILITIES AND DUTIES:

  • Ensure compliance with district policies and all applicable state and federal regulations related to Special Education
  • Prepare, review, and submit required reports, including SHARS and High-Cost Funds
  • Maintain accurate, complete, and auditable records in accordance with district retention
  • Oversee weekly Medicaid billing for Special Education transportation
  • Verify billing accuracy based on student attendance and approved transportation services.
  • Review and approve billing documentation prior to submission and address discrepancies as
  • Coordinate Student ARD Transportation Confirmation processes with campuses and Special
  • Verify transportation status, required equipment, campus assignments, ESY status, and special transportation
  • Update transportation records and communicate changes to appropriate
  • Manage Special Education transportation equipment, including inventory, distribution, maintenance, and end-of-year
  • Ensure equipment is properly installed, tracked, and compliant with safety standards.
  • Conduct routine and random inspections of buses, routes, seating charts, and safety
  • Review and approve employee time, time adjustments, extra pay requests, absences, and time-off
  • Support accurate payroll processing and compliance with attendance and compensation
  • Conduct return-to-work meetings and complete required documentation when attendance issues
  • Coordinate documentation and follow-up for transportation-related accidents and incidents.
  • Serve as a primary liaison between Transportation, Special Services, campuses, and district
  • Provide guidance and support to transportation staff regarding Special Education requirements.

  • Computers, copiers, telephones, fax machines, 2-ways radios, cell phones, gym mats (for evacuation practice), school buses (special education), fuel pumps, and minor shop equipment
