Service Dispatcher – Grogans Towne Position Summary
The Service Dispatcher is responsible for coordinating the daily flow of repair work through the service department. This role assigns work to technicians based on skill level and availability, monitors shop productivity, communicates status updates, and helps ensure repairs are completed accurately, on time, and to Stellantis and dealership quality standards.
Key Responsibilities- Dispatch repair orders (ROs) to technicians based on certification, skill set, and current workload
- Balance the shop schedule to maximize efficiency, productivity, and on-time delivery
- Monitor technician progress throughout the day; reprioritize work as needed (waiters, appointments, comebacks, internal, warranty)
- Communicate repair status and ETA changes to service advisors and management
- Ensure repair orders include correct complaint/cause/correction notes and required documentation for warranty compliance
- Coordinate with parts department to confirm parts availability and reduce down-time
- Track and report key metrics (hours available vs. produced, efficiency, cycle time, bay utilization)
- Support quality control and reduce comebacks by routing work appropriately and verifying completion steps
- Assist with quick lane/express dispatching when applicable
- Maintain a clean, safe, and organized shop environment and promote consistent process adherence
- 1+ year experience in dealership service operations (dispatching, advising, warranty admin, or shop foreman support preferred)
- Strong understanding of automotive repair workflow and flat-rate operations
- Ability to multi-task in a fast-paced environment and make quick, sound decisions
- Excellent communication skills with advisors, technicians, parts, and management
- Proficient with dealership DMSand basic computer skills
- High attention to detail and commitment to accurate documentation
- Familiarity with Stellantis warranty processes and documentation standards
- Understanding of technician certifications and skill-based dispatching
- Prior experience managing “waiter” workflow and appointment load leveling
- Ability to walk the shop, stand for extended periods, and lift up to ~25 lbs occasionally
- Ability to work in a service shop environment with noise, moving vehicles, and varying temperatures
- Full-time; may include rotating Saturdays based on dealership needs
