Job SummaryThe Administrative Assistant provides comprehensive administrative, fiscal, and operational support to the Campus Police Department. This position requires strong multitasking abilities and frequent interaction with students, faculty, staff, and campus partners. Responsibilities include student and parking services, travel coordination, purchasing and ordering, records management, and other job-related duties as assigned in support of departmental operations.
Long DescriptionUnder the supervision of the Chief of Police and Assistant Chief, this position serves as a primary point of contact for students, faculty, staff, and visitors regarding Campus Police Department services, parking, and general inquiries. Responsibilities include answering incoming calls, appropriately routing service needs, and receiving, documenting, and addressing student complaints, questions, and concerns in a professional and courteous manner.
The role administers the campus parking system, including the issuance of parking decals and permits, and supports the communication and consistent enforcement of parking rules and regulations. Administrative duties include preparing and processing purchase orders, requisitions, and invoices in accordance with institutional policies, as well as ordering, tracking, and maintaining uniforms, equipment, and departmental supplies.
This position supports departmental travel by preparing and processing travel requests, authorizations, and reimbursement documentation, and coordinating lodging, transportation, registration, and per diem in compliance with travel policies. The role maintains accurate electronic and physical records related to personnel, training, travel, parking, and departmental operations; performs data entry and system maintenance in records management systems (RMS), parking management software, and other departmental platforms;
and handles confidential and sensitive information with discretion and professionalism.
The position assists with special projects, audits, and departmental initiatives and performs other job-related duties as assigned in support of Campus Police Department operations.

- Interact with students, faculty, staff, and campus partners; manage customer-facing duties in a professional manner.
- Administer campus parking system, issue decals and permits, and enforce parking rules and regulations.
- Prepare and process purchase orders, requisitions, and invoices; manage ordering of uniforms, equipment, and departmental supplies.
- Coordinate travel requests, authorizations, reimbursements, lodging, transportation, registrations, and per diem in compliance with travel policies.
- Maintain accurate electronic and physical records related to personnel, training, travel, parking, and departmental operations; perform data entry and system maintenance in RMS and parking software.
- Handle confidential and sensitive information with discretion and professionalism.

- High school diploma or equivalent required; associate degree in administration, criminal justice, or related field preferred.
- Three (3) or more years of administrative or customer service experience.
- Demonstrated ability to multitask in a fast-paced, public-facing environment.
- Proficiency in Microsoft Office applications.
- Strong written and verbal communication skills.
- Experience in campus police, law enforcement, parking services, or higher education.
- Experience with purchasing systems and travel coordination.
- Familiarity with parking management software and campus policies.
